Job Summary

The University of Colorado Boulder is encouraging applications for the Administrative Assistant to the Public Health Program position! This position is responsible for providing administrative, financial, outreach, and event support to the Director, Assistant Director, and Executive Committee of the Public Health Program (PBHL). PBHL is a newly created interdisciplinary program that resides in the Natural Sciences division of the College of Arts & Sciences. The program includes a PBHL undergraduate certificate with up to about 300-400 students enrolled and a new bachelor’s degree (B.A.) starting in Fall 2025. A sizable portion of the position's responsibilities will be managing the PBHL undergraduate curriculum. As most of the courses for the major are run by other departments, this will require scheduling Public Health specific courses and, more significantly, coordinating with other A&S departments to ensure courses needed for PBHL are offered with frequency and capacity to meet student needs.

The position will work closely with the PBHL Director and Assistant Director to plan and implement all aspects of the complex course schedule, along with support for PBHL initiatives (e.g., internships, independent study, honors program, awards, marketing, and events). The position also provides budgetary, financial, policy, and administrative support to the PBHL Director, engaging in long-term strategic projects and planning in consultation with the Director and Assistant Director.

This position will serve as the primary point of contact – phone and email – for internal and external inquiries, which will require extensive knowledge of the program and related college and campus offices and policies. The person in this position will communicate and interact with varied audiences, including high-level administration, faculty, staff, students, parents, key donors, and community members.

What Your Key Responsibilities Will Be

Undergraduate Program Planning and Administration

  • Plans, prioritizes, and manages the workflow of the undergraduate program, providing administrative, technical, and clerical support for the Director and Assistant Director.
  • Collaborates with the Director and Assistant Director in the creation of the Program’s schedule of courses for each term by working with faculty and curricular support staff across associated departments, ensuring that required courses and electives are available as needed by students in the major, along with students completing the certificate.
  • Remain in close communication and coordination with associated A&S departments on course scheduling; work independently to overcome challenges in course availability and instructor assignments.
  • Provides updates to the PBHL website and other communication channels to ensure students and other campus constituents (e.g., advising) receive accurate and timely information.
  • Develops and maintains diverse databases related to undergraduate program operations.

Administrative Support

  • Serves as the primary point of contact in providing general information, responding to calls and emails, and distributing communications to relevant audiences as requested by the Director.
  • Provides logistical and clerical support to the Director, Assistant Director, and Executive Committee.
  • Organizes and maintains PBHL bylaws, documents, and personnel records in compliance with CU policies.
  • Maintains and updates the PBHL website.
  • Assists the Director in creating outreach/marketing and commemorative materials, which may include emails, social media, and print media.
  • Manages PBHL events, including prospective and admitted student events, campus public health events and seminars, and other events related to the undergraduate major (e.g., student celebration/commencement ceremonies).
  • Assists the Director with the budget and financial operations of the Program, including annual budgeting, creating financial reports, and monitoring funds.
  • Assist the Director with purchasing, procurement, and contracting, working with appropriate college and campus offices (e.g., Financial Service Center, HR Service Center, and Procurement Service Center).
  • Continually analyzes processes, workflow, and operations to improve efficiency, compliance, and outcomes; collaborates and coordinates with other administrative offices as needed to manage the implementation of new systems or ensure compliance with new policies.

Administrative Support and Other Duties as Assigned

  • Project management and special projects as assigned by the Director.
  • Other duties as assigned that support the Public Health Program.

What We Require

  • 3+ years of experience in an occupational field related to the work assigned to the position.
  • Appropriate education will substitute for the required experience on a year-for-year basis.
  • You must be a Colorado resident at the time of application for this position. 

What You Will Need

  • Ability to work independently and with responsibility for initiating and completing tasks.
  • Proficient computer knowledge and skills with Adobe Acrobat and MS Office applications, particularly with Outlook, Word, Excel, and PowerPoint.
  • Ability to communicate effectively both orally and in writing, with a variety of professionals, administrators, and students.
  • Demonstrated ability to work independently and assume responsibility for initiating and completing critical functions in the management of educational programs.
  • Demonstrated ability to work effectively in a team and within other collaborative work situations. 

What We Would Like You to Have

  • 4+ years of progressively increasing experience in financial management, operations, supervision, and human resources.
  • Demonstrated record of communicating effectively and building and maintaining relationships at all levels of an organization.
