The Office of the Chancellor at CU Boulder encourages applications for an Administrative and Budget Assistant to the Chancellor position! This is a high-level, confidential assistant who provides professional administrative support to the chancellor and Office of the Chancellor staff. This position functions with a great deal of independence and initiative and will establish and maintain effective working relationships within the chancellor, the Office of the Chancellor staff, the campus, the University system, and with other agencies and institutions.

What Your Key Responsibilities Will Be

  • Work with the executive assistant and chief of staff to determine competing and complex scheduling priorities. 
  • Handle and arrange complex and high frequency travel schedule for the chancellor, ensuring travel in as efficient and direct manner as possible.
  • Manage every detail of travel, locally, nationally and internationally.
  • Schedule and manage meeting invitations, zoom reservations, room reservations, logistics, and catering for campus leadership meetings. 
  • Keep track of and advise chancellor of meeting attendees and provides RSVP lists to the chief of staff a day before meetings; advise the chief of staff of attendance by the provost and COO at Cabinet meetings as soon as known.
  • Schedule and organize meetings initiated by the chief of staff, and maintain the COS calendar.
  • Serve as the first point of contact for the Office of the Chancellor, greeting visitors and answering the main phone line.
  • Promote positive, welcoming, service culture in the Office of the Chancellor. 
  • Ensure adherence to all CU and CU Boulder policies.
  • Ensure appropriate communication emanating from the office of the chancellor relative to time commitments and operational details.
  • Collaborate closely with the executive assistant, chief of staff, Office of the Chancellor staff and executive assistants for other university executives. 
  • Prepare and processes journal entries in the finance system for smaller units associated with the Chancellor’s Office.
  • Serve as a backup to these other units for financial tasks such as preparing and entering purchase order requisitions, and other similar duties.
  • Prepare purchasing and travel expense reports for the events team.
  • The above is not an exhaustive list and the assistant will be expected to perform other duties as assigned.

  • This position will be working primarily in person, with some flexibility for occasional remote work.
  • All University of Colorado Boulder employees are required to comply with the campus COVID-19 vaccine requirement.

What We Can Offer

  • Annual Salary is $60,000 - $67,000.

What We Require

  • A Bachelor’s Degree from an accredited institution. Note: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • Two (2)+ years of experience in administrative or operational management.

What We Would Like You To Have

  • Experience supporting CEO or senior-level executives and managing complex and sensitive issues. 
  • Experience that lends itself to a comprehensive knowledge of higher education organizational culture, policies, and processes.
  • Four (4)+ years of experience in administrative or operational management.
