Job Summary

The BioFrontiers Institute encourages applications for an Administrative & Events Coordinator! This role is responsible for event and meeting management and administrative and operations support for the BioFrontiers Institute.

Who We Are

At the BioFrontiers Institute, researchers from the life sciences, physical sciences, computer science, and engineering are working together to uncover new knowledge at the frontiers of science and working with industry to transform their discoveries into new tools. What Your Key Responsibilities Will Be

Event and Meeting Management

  • Schedules, plans, and coordinates all Institute-level meetings, events, seminars, symposia, and faculty recruitment. Activities include managing procurement and logistics and handling event set-up and clean-up. Meetings may include advisory board meetings, faculty council meetings, staff meetings, donor meetings and events, and internal groups and committees.
  • Coordinates and administers annual staffing events, employee recognition and engagement events, and staff social events.
  • Processes requests for approvals and ensures compliance with CU policies; establishes and monitors budgets; coordinates logistics and scheduling; liaises with speakers and invited guests; organizes staff, students, volunteers, and speakers; identifies vendors; coordinates catering; expedites reimbursements; and provides any necessary post-event follow-up and reporting.
  • Manages all travel and logistics associated with meetings, events, and faculty recruitment. This includes honoraria, pre-travel authorization, flight/hotel/ground transportation reservations, and post-trip reimbursement.

Administrative and Operations Support

  • Coordinates BioFrontiers council membership and voting processes. Ensures compliance with bylaws.
  • Provides administrative support to BioFrontiers Directors and staff (including managing Outlook calendar invites, email correspondence, meeting room reservations, coordinating with building staff, procurement, and logistical support).
  • Assists with student recruitment and serves as backup or provides occasional assistance for events organized by the BioFrontiers Education team.
  • Serves as backup for routine institute communications.

What You Should Know

  • This position will be on-site to support meetings and events, including occasional mornings, evenings, and weekends. This position offers the occasional opportunity to work remotely. 

What We Can Offer

The annual hiring range for this 50% position is $24,000-$29,200.

What We Require

  • A bachelor’s degree or an equivalent combination of education and experience. 

What You Will Need

  • Excellent interpersonal skills.
  • Responsible and self-motivated. Ability to proactively solve problems and efficiently manage multiple tasks.
  • Outstanding organizational skills and attention to detail.
  • Proficient with MS Office software (Word, PowerPoint, Excel, Outlook).

What We Would Like You to Have

  • 1+ years of job-related professional experience (experience with event and meeting planning, and/or administrative support).
