Job Summary

The University of Colorado Boulder invites applications for an Admissions Event and CASE Coordinator! The Center for Academic Success and Engagement (CASE) is a unique building on the University of Colorado Boulder’s main campus that boasts a 250-seat auditorium and splendid views of the Boulder Flatirons from the Admission’s welcome center, as well as 11 conference rooms, 7 classrooms and a variety of student support services. 
The Admissions Event and CASE Coordinator will assist in leading the efforts of the CASE Building Services team to maintain the high standards of customer service that we have developed in the six years that CASE has been open. We are a busy building that provides a welcoming environment for prospective students and their families, high school counselors and community leaders visiting the CU Boulder campus. This role will assist the Director and Assistant Director of CASE Building Services in supervising the usage and spaces available in the CASE building, to academic and campus units, as well as external vendors and the supervision and mentorship of approximately 18 student staff. This position reports to the Associate Director of Admissions/CASE Director. In addition to CASE, this person will serve as the Event Coordinator for all on-campus events with the Office of Admissions. Hosting over 62,000 guests annually, through our campus visit programs, this person plays a pivotal role in making sure logistics and details are coordinated for all Admissions events. Admissions on-campus events are a critical component in our recruitment efforts, as is this role. 
Due to the nature of this position, this person will work non-traditional hours, and cover evening and occasional weekend events as needed within CASE. This role is 100% in person and not offered a hybrid option. The individual in this role will manage all event/meeting/program communication and bookings and will be responsible for supervising set-up, tear-down and the clean-up from large-scale events to small meetings events. They will have management and oversight of the two information desks in CASE and support the supervision and training of the CASE student assistants, along with the Manager-On-Duty in the evenings. Due to the volume of requests and visitors within CASE and details surrounding events, the person in this role must be detail-oriented, communicative, and able to manage multiple projects at once. They excel at building relationships with individuals, demonstrating the capability to function effectively both within a team-oriented setting and autonomously. As this position covers nontraditional hours, little to no supervision is provided when working evenings/weekends; this individual must be able to make critical decisions based upon previous trainings, and that are aligned with our mission and values.

What Your Key Responsibilities Will Be

CASE Coordinator Responsibilities
  • Work independently in CASE in the evenings and occasional weekends to support student staff, events, and facilities during events as the Manager on Duty. 
  • Responsible for ensuring that all events are run appropriately and successfully and are in-line with campus policies. Extra supervision will be required for events with alcohol to ensure all events with alcohol procedures are followed. 
  • Ensure safe and efficient building operations. 
  • Monitors use of CASE building for issues with capacity, appropriate use of space, adherence to the rules of use, and positive guest experience. 
  • Monitor non-academic use of classrooms for food, appropriate use, and student organization utilization. 
  • Provide support to ensure the success of the student assistants. 
  • Respond to health, safety, or security concerns within CASE in a safe and timely manner and make decisions on what may need to be escalated to facilities management or emergency services. 
Monitor CASE Services Inbox:
  • Schedule conference room requests and send confirmations. 
  • Respond to basic questions about CASE events and bookings. 
  • Change booking details as requested. 
  • Maintain CCURE access to lock/unlock doors as necessary. 
  • Knowledge of and ability to share CU Boulder and CASE policies and procedures. 
  • Ability and confidence to make quick decisions without being able to consult a supervisor. 
  • Other duties as assigned.
Admissions Event Coordinator Responsibilities 
  • Manage the Event Management Form (EMF) process for all on-campus events for Admissions. 
  • Serve as the direct liaison, for Admissions, with the University Memorial Center (UMC). 
  • Manage all bookings/reservations with the University Memorial Center (UMC) for on-campus events; this includes submitting all UMC room set-ups and catering orders, and verifying they are accurate. 
  • Manage bookings/reservations for all campus venues that are not centrally booked through the UMC. 
  • Assist all event planners, in Admissions, in ensuring they have all needed spaces, across campus, for their on-campus events. 
  • Detail oriented and able to manage multiple tasks at one time, as the planning of multiple events will be happening simultaneously. 
  • Request meal cards for all on-campus events that require dining in on-campus dining facilities. 
  • Request parking codes for events that require on-campus parking. 
  • Presence at all Saturday Admissions events is required. This includes, but is not limited to: Admitted Student Day, Diversity and Inclusion Visit Experience, Discover CU Boulder, and Transfer Admitted Student Day. 
  • Other duties as assigned.

  • The salary range for this position is $47,000 - $51,400 per year.
