Job Summary

The CU Art Museum is looking for an Associate Registrar and Collections Manager! The museum is a key partner and cultural resource for our community, reinforcing the social fabric of CU Boulder and the greater Boulder area. As a valued team member and in conjunction with the Head Registrar and Collections Manager, this position will supervise collection management, student employees, and interns and provide oversight, care, and documentation for the Museum’s collection of over 8,700 objects, as well as all incoming and outgoing loans. The position entails extensive overall responsibilities; undertakes research and writing; participates in professional museum organizations at a national and regional level; involves short and long-term project planning and resource allocation. This position works closely with the registrar and collections manager, other museum staff, faculty, guest artists, and guest curators to facilitate access to the collection and has responsibilities for database administration. 

The skills required are specific to this position. The function of the Permanent Collection of the CU Art Museum and the Collections Management and Registration Office are not generic. The job requires a professional trained in the museum field, with special skills and specific, high-quality museum experience. We are looking someone with excellent self-motivation, strong decision making skills, and precise attention to detail.

What Your Key Responsibilities Will Be

Registration
  • Assist in administering professional museum policies for the accessibility, usage, care, handling and inventory of the collection.
  • Liaise with the University’s Risk Management, Financial Service Center, Procurement, Provost Office, Legal and other departments.
  • Arrange for the moving, packing, and shipping of all artwork loans including preparation of budget estimates, contracts and invoices.
  • Negotiate art image rights and reproduction permission for programming, marketing and exhibition purposes.
  • Monitor and record humidity/temperature and pest management records for the museum.

Collection Manager
  • Assist in overseeing Collection Study Center, including maintaining calendar, handling artwork and supervising Study Center visits.
  • Assist with exhibitions, framing, packing, crating, and other collection and exhibition related projects both on and off site.
  • Process and examine all incoming and outgoing collections objects to determine liability for loss and/or damage with professional condition reports.
  • Assist with the development of and author grant proposals to increase resources for collection projects.
  • Assist with projects as directed (i.e. artwork inventory, appraisal of collection and artwork conservation/restoration).

Collections Database Administration  
  • Train users on Argus.net database system as well as build and update user guides for staff.
  • Update the CUAM public internet portal to reflect exhibitions and collections programs and activity.
  • Add collection images and metadata to CUAM collection database.
  • Create and produce Argus.net database collections reports for staff and public use.
  • Conduct ongoing Argus.net lexicon maintenance, updates, cleanup, term creation and organization for improved accessibility and reporting.
  • Use analytics to capture feedback regarding CUAM public portal usage to inform future improvements and projects, including accessibility.

Image Management
  • Maintain and expand CUAM collections digital image database.
  • Work with the head registrar and collection manager to research and negotiate image rights and reproduction.
  • Prepare artwork and galleries for professional photographic shoots.

Other 
  • Train and supervise graduate assistants, temporary workers, contract workers and interns.
  • This position will serve as OIT, DDS, and phone liaison.
  • Network with museum management groups in the region. Actively participates in regional and national professional groups.

Occasional weekend or evening hours may be required.

Salary Range Starts at $52,000.

What We Require

  • Master's degree in Museum Studies or a related field. 
    • Note: A Certificate in Museum Studies may substitute for the master's degree requirement.
  • A minimum of 1 year of experience in the museum registration and the collections management field.
  • Experience with managing and administrating a computerized museum registration system and web-based collections management software.

  • Computer literacy in word processing and database management.
  • Social media usage and analytics familiarity.
  • Strong management, supervisory, communication and interpersonal skills.
  • The ability to collaborate and work harmoniously with University faculty and staff.

What We Would Like You To Have

  • Administrative experience with collections management software system Argus.
  • Experience arranging complex crating and shipping arrangements for domestic and international loans.
  • Experience reviewing estimates and budgets.
  • Experience reviewing contracts and loan agreements.
