Job Summary

The College of Communication, Media, Design and Information (CMDI) is seeking a Business Services Manager! This position will be the main point of contact for financial, personnel and administrative matters for the department. This position provides leadership in the planning and coordination of departmental administrative activities and operations and develops and implements procedures to ensure the quality of administrative and financial processes. This role also supervises departmental administrative support staff and coordinates with the CMDI Dean’s Office and shared services to ensure that college policies and procedures are followed.
This role will also assist the Chair with onboarding new department team members by providing details on processes and responsibilities, ensuring the Department Chair and Associate Chair(s) fulfill all requirements.

Effective July 1, 2025, the College of Media, Communication and Information will become the College of Communication, Media, Design and Information (CMDI), incorporating the environmental design program. What Your Key Responsibilities Will Be

Department Operations
  • Serves as the department business manager and primary point of contact for administrative matters and operations of the department.
  • Attends department meetings, proctors faculty votes, and represents the department on committees and working groups.
  • Works with professional and student staff reports to ensure projects and tasks are completed effectively and in a timely manner.
  • Works closely with the Chair to achieve and maintain a collegial and friendly culture for all faculty, staff, students and visitors.
  • Coordinates with College shared services to ensure department needs, processes, policies and practices are supported and follows relevant college, campus and university requirements.
  • Supports the department assistant with ad hoc administrative needs and requests, including equipment, space, office supplies, events, property management, deliveries, etc.
  • Acts as the backup proctor for the ENVD building and works with the college space and facilities staff to supervise renovation and update projects in the building with associated costs and implications for the budget.
  • Provides assistance to the course scheduling and curriculum coordinator and ensures up to date understanding of all relevant processes, policies, and systems, as well as maintaining currency on related training requirements and access to associated systems.
  • Responsible for the department's internal communications functions, ensuring that official messaging from the Chair, college, and committees to faculty and lecturers is timely and clear, and coordinates with college communications and engagement team to ensure alignment of communications with campus identity and brand standards.
Department Finance
  • Assists the Chair in making purchasing and spending decisions to accomplish the departments instructing and research mission, including providing projections and developing strategies for dealing with budget concerns using existing account systems and tools by monitoring financial activity to maintain the solvency of department finances.
  • Responsible for implementing department finance procedures and policies in compliance with University and CMDI fiscal rules and regulations.
  • Reviews financial transactions related to department, research, and instructional activities, ensuring expenses are charged to the appropriate accounts.
  • Determines and requests funds and expense transfers and prepares related reports for the Chair, faculty and department committees.
  • Advises the Chair, Associate Chairs, faculty and staff on financial matters including grants and sponsored projects.
  • Liaises with CMDI's Dean's Office and Finance Office to resolve financial discrepancies and issues.
  • Participates in purchasing goods and services using University approved tools that support the daily operations, such as office supplies, departmental memberships to industry specific professional organizations, etc.
  • Monitors expenses for the ENVD professional degree program(s) in partnership with the CMDI Dean's Office, CMDI Finance Office, the CMDI Graduate Programs, and faculty administrators.
Faculty Affairs
  • Be the point of contact for faculty affairs in the department.
  • Liaises with CMDI Faculty Affairs to support faculty career achievement processes and ensure compliance with all associated policies and procedures.
  • Supports comprehensive reappointment, promotion and tenure (CRPT) review processes in close coordination with the Chair, department review committees, and CMDI Faculty Affairs, including dossier materials collection and compilation, currency with all relevant policies and processes, and administrative support to the Chair and Primary Unit Evaluation Committee to manage cases through the department review stage.
  • Supports the Chair and Search Committee with faculty search processes in compliance with policies and procedures, including coordinating promotion and advertisement on external job boards, scheduling candidate interviews, and making travel arrangements for finalists.
  • Works with department leadership to administrate, collect, and report results of faculty voting processes in compliance with department bylaws and college and university policies.
  • Responsible for the hiring, appointment and onboarding of lecturers, including managing applications or letters of interest, drafting, and routing offer letters.
  • Coordinates with faculty and the curriculum team to oversee the hiring of undergraduate teaching assistants and other student staff in compliance with college and university policies and processes.

This position has the ability to work in a hybrid work modality and has an anticipated work schedule of Monday – Friday during regular business hours.

What We Can Offer

The salary range for this position is $64,260 – $72,293 annually. Limited relocation assistance is available within department guidelines.

What We Require

  • Bachelor’s degree or an equivalent combination of education and experience may substitute for the degree on a year-for-year basis.
  • Three years’ experience in an office administrative role.

What You Will Need

  • Be approachable and highly customer service oriented.
  • Demonstrated effectiveness in strong written and oral communications, collaboration and problem solving.
  • Attention to detail and an ability to manage and complete multiple tasks or responsibilities simultaneously and efficiently.
  • Excellent digital literacy including Microsoft Office Suite, and willingness and ability to learn new software and business communication software.
  • Ability to take ownership of projects and use independent judgment and work well under pressure, meeting tight deadlines.
  • Sensitivity to and appreciation of cultural, political and geographical differences with ability to work well with faculty, staff and students from various backgrounds.
  • Solid understanding of Federal, State and University fiscal rules and procedures with regard to state funds, gift funds, travel, property, purchasing, procurement.

What We Would Like You to Have

  • Five years’ experience in an administrative position.
  • Experience in an office management role in a higher education environment.
  • Supervisory or lead experience.
  • Familiarity with university and/or business enterprise systems (Salesforce, DARS, Campus Solutions, Singularity, PeopleSoft, Concur, Marketplace, CU-SIS, CLSS, etc.).
