Job Summary
The Cooperative Institute for Research in Environmental Sciences (CIRES) Environmental Data Science Innovation & Impact Lab (ESIIL) encourages applications for a Professional Assistant! The Assistant will work closely with the ESIIL Director to help run the day-to-day operations of ESIIL, make their leadership efforts more efficient and effective, and build out strategic efforts. Responsibilities will include: supporting the Director and ESIIL teams, assisting with communication efforts, maintaining web content, and serving as the primary contact for ESIIL activity participants. A key role of this position is to serve as a liaison to CIRES professional staff, who handle the overall financial, human resources, and IT needs of ESIIL. Other efforts will include assisting the Director on strategic efforts to help this dynamic organization thrive. Creativity and flexibility in problem-solving, project management experience, organizational skills and attention to detail, excellent communication, and effective interpersonal skills are essential.

What Your Key Responsibilities Will Be
Relationship Management & Scheduling (30%)
- Collaborate with university, NSF, and ESIIL leadership & advisory teams. Manage the schedule of the ESIIL Director.
- Help prioritize ESIIL’s leadership team engagement.
Reporting and Communication Efforts (20%)
- Assist the ESIIL Director and Deputy Director with the content development and submission of monthly, detailed NSF progress reports and other achievement- tracking efforts (e.g. publications and products), including coordinating with the ESIIL evaluation team.
- Write summaries of ESIIL work for external audiences, in coordination with CIRES communications and ESIIL community engagement efforts.
- Support website content development based on ESIIL efforts, and update websites.
- Support outreach and engagement efforts by updating user groups (email lists and employee information) and help advertise our efforts, internally and externally.
Strategic Efforts (10%)
- Help bring open science and collaboration approaches to our leadership practice and team management.
- Adopt and support innovative approaches and technologies that help teams engage and innovate in a hybrid work environment.
- Manage and supervise student interns and/or administrative staff as ESIIL grows.
The following duties require collaborating with CIRES professional staff and creatively working within the university and CIRES infrastructure to accomplish ESIIL goals and objectives:
Event Planning & Scheduling (15%)
- Assist with planning for ESIIL working groups, Summits, Hackathons, external advisory board meetings, and other events.
- Coordinate with CIRES event planner and ESIIL travel and event coordinator on event logistics.
- Collaborate with CIRES IT on AV needs for events and meetings.
- Update the ESIIL calendar & keep the ESIIL community advised of activities.
- Assist travelers (CU employees and external) with travel approval and reports to support ESIIL.
Financial Tracking (15%)
- Track and review monthly, quarterly, and annual financial reports and assist with budget planning efforts.
- Purchase and distribute office supplies, computers, and submit reconciliation paperwork.
Human Resources (10%)
- Onboard new personnel, including new equipment purchases and seating arrangements.
- Coordinate hiring paperwork for new personnel.
- Request recommendation letters and set up interviews.
What We Can Offer
Starting salary is $60,000 - $85,000. Relocation assistance is available within department guidelines.

- Bachelor’s degree or a combination of education and experience.
- One year of professional experience in one or more of the following areas: administration of research projects, experience with grants and contracts, experience organizing outreach events, or experience interacting with large research teams.

- Bachelor’s degree in environmental science, ecology, geography, or a related field.
- Education or experience working in an environmental field.
- Three years of experience in professional experience in one or more of the following areas: administration of research projects, experience with grants and contracts, experience organizing outreach events, or experience interacting with large research teams.
- Experience with web software programs (e.g., Drupal, Wordpress) is a plus.
