Job Summary

We are encouraging applications for a Contracts and Services Coordinator to join our team! This position provides a variety of support to the Contract’s Sponsored Services team in the Office of Contracts and Grants (OCG) in carrying out process management, contract formation, and detailed administrative work to assure compliance functions are documented. The Coordinator reports to the Team Manager for Contracts Administration within OCG. This is an exempt professional position requiring discretionary and professional judgment on-campus process, contract management, and customer service.


This position supports the service activities initiative managed by the Sponsored Services team in any of the following day-to-day activities: managing, responding to, preparing, and tracking requests and transactions as related to sponsored service activities and contract processes and agreement management.


The Contracts and Services Coordinator provides training to new OCG staff and to the campus community. The position requires excellent communication and organization skills, the ability to prioritize and monitor multiple deadlines, and good interpersonal skills to work with a diverse constituency of higher education and business personnel.

What Your Key Responsibilities Will Be

The following list of duties and responsibilities serves only to illustrate the nature and scope of this position's primary activities and functions:

  • Coordinates service processes and transactions. Activities include but are not limited to preparation, tracking, communication, and training for Sponsored Services and Rate-Based Service Activities.
  • Provides daily assistance to OCG and department personnel related to the processing of service requests and activity setups, including budget verifications, campus requirements, and award compliance processes for incoming service projects. Work includes coordination with partners on issues related to award stewardship.
  • Assists in the development of business processes and document management.
  • Supports the communication and training of current service processes to relevant central and department-level personnel.
  • Evaluate faculty and sponsor service requests.
  • Logs and processes award information and input into the University systems of record and document management systems.
  • Develop Rate-Based Services Quotations for departments and support quote auditing.
  • Other duties as assigned and special projects as requested.

What We Can Offer

The hiring range is $46,000.00-$48,000.00.

  • Professional experience (1-2 years) using a Windows-based PC, word processing, spreadsheets, email communication, and the Internet.
