Job Summary

The Department of Critical Media Practices (DCMP) at CU Boulder encourages applications for an Office Manager. This position provides professional support to the department chair and serves as office manager for the department. The person in this role operates with a high level of discretion and confidentiality and independently exercises professional judgment. The Office Manager acts as a resource for faculty regarding university and college procedures for purchasing, travel, and faculty personnel matters. Working with CU guidelines and with a “service” focus, the Office Manager manages the department office including coordinating facility needs with building proctor and college space managers, supplies purchasing, and travel in compliance with college practices and university rules.

The Office Manager arranges travel for the chair as requested and manages all non-employee department travel. Under direction of the chair and in concert with the dean’s office, the Office Manager coordinates department faculty affairs processes and reviews department finances monthly with the chair and ensures department expenditures stay within budget. The manager works with the chair/associate chair to coordinate course and classroom scheduling for DCMP.

What Your Key Responsibilities Will Be

Department Office Management

  • Advises on, implements, and maintains departmental policies and procedures. Responsible for maintaining the department's operations including annual "workflow" associated with the academic year.
  • Assists the chair with budgetary decisions and plays an active role in budget preparation and monitoring of departmental accounts by analyzing past expenditures, reviewing current balances and projecting future expenses.
  • Monitors the department’s finances and maintains spreadsheets as necessary to track department and project budgets.
  • Collects and organizes syllabi, office hours for all faculty and textbook orders each semester. Assists with the coordination of academic scheduling and course offerings for the department. Works with chair or designee to build all courses in CU-SIS, compile instructor schedule requirements, perform class updates and manage wait lists. Coordinates classroom requests.
  • Acts as a resource for faculty with regard to purchasing and travel procedures and processes. Purchases items in compliance with university policy and using university approved vendors in Marketplace.
  • Supervises student hourly employees as necessary. Monitors students’ schedules and performance, assigns tasks and provides training and coaching as needed.
  • Coordinates with the College technology, space, and finance shared services areas of excellence and liaises with University OIT, Parking, Facilities Management, and the building proctor to maintain the department’s physical assets including equipment and space resources.
  • As coordinated by the chair, provides general administrative support for centers and labs directed by department faculty, including currently the Center for Documentary and Ethnographic Media (CDEM) and the Immersive Media Lab (IML).

Professional Support of the Department Chair

  • Provides professional support to the department chair.
  • Briefs and prepares the chair in advance of calendared meetings.
  • Attends faculty meetings, records and distributes minutes and follows up on action items.
  • Effectively communicates and updates key partners.
  • Professionally represents the department at committee and college meetings and task forces.
  • Assists chair with issues research and special projects.
  • Drafts department reports and related documents as requested.
  • Assists chair with travel as requested.

Department Faculty Affairs Processes

  • Coordinates with CMCI Faculty Affairs to track key achievements of faculty appointments.
  • Works with chair and dean’s office to support department level faculty personnel actions to meet campus and college requirements and deadlines.
  • Assists chair as directed in faculty annual merit assessment process.
  • Supports faculty search and recruitment activities including providing administrative support to search committees, scheduling and making travel arrangements for interviews, and preparing department onboarding resources in coordination with CMCI Faculty Affairs.
  • Drafts and processes offer letters for contingent/temporary faculty in coordination with CMCI Faculty Affairs.
  • Organizes and maintains departmental specific records.

Department Event Coordination

  • Supervises department event logistics including venue, catering, promotion and budget.
  • Arranges travel accommodations and processes honoraria for speakers.
  • Effectively communicates and updates key partners including the CMCI Communication & Engagement team to ensure events are well promoted and attended.
  • Ensures robust promotion of events including relaying web site updates to CMCI Comm & Engagement team, designing posters and announcements.
  • As time permits and with coordination by the chair, may assist individual faculty with faculty-led events and conferences.
  • Provides coordination and support to other department faculty administrators as coordinated by the chair.

Multimedia & Production Archives

  • Directs an archive of department events and accomplishments.
  • Coordinates video recording of exhibitions, openings and guest artist/scholar talks.
  • Monitors social media platforms for DCMP, CDEM & Immersive Media Lab.
  • Edits websites for DCMP in consultation with CMCI Communications & Engagement team.
  • Offers content support for CDEM and Immersive Media Lab.
  • Supervises student workers assigned to support efforts, as required.

What You Should Know

  • This position will work in a hybrid modality.

What We Can Offer

  • Annual salary range: $54,060- $59,500. Relocation assistance is available.

What We Require

  • Bachelor’s degree or equivalent experience and education may substitute.
  • Two years of office administrative experience.

What We Would Like You to Have

  • Three or more years of office administrative experience.
  • Experience in higher education administration.
