Job Summary
The Office of Advancement at CU Boulder encourages applications for a Development Assistant (DA)! This role is a critical member of the School of Education (SOE) Advancement team. Under the guidance of the Assistant Dean of Advancement, this position provides administrative support for a high-performing and collaborative advancement team.
The SOE Development Assistant is a uniquely crafted role supporting the Assistant Dean in all dimensions of a development shop, including driving donor stewardship programs, supervising communication efforts, managing administrative tasks, and supporting fundraising initiatives. What Your Key Responsibilities Will Be
Administrative Support
- Support the Assistant Dean of Advancement in implementing relationship management to move prospects along the donor continuum.
- Support with tasks needed to secure/confirm meetings for the Assistant Dean. Tasks may include research and identification of prospects, coordinating meetings, follow-up, meeting briefings, travel arrangements, detailed itineraries, copy editing, and filing contact reports.
- Update the donor database with new contact information, notes, proposals, pledges and contact reports.
- Schedule, and coordinate internal meetings for the SOE advancement team and maintain the office calendar.
- Administer gifts by processing donor checks and gifts, tracking and recording contributions, and completing gift documentation.
- Process and route documentation for fund agreements.
- Proactively engage with the division’s Administrative Team (A-Team) and attend scheduled meetings.
- Assist with special projects.
Donor Engagement
- Manage the SOE Advancement Acknowledgment process and overall stewardship efforts.
- Plan and complete stewardship and cultivation events and donor-related engagements in collaboration with internal and external partners under the direction of the Assistant Dean.
- Under the guidance of the assistant dean, engage with the CU Boulder Advancement annual giving department to supervise the appeal plan for SOE, including Buffs All In and end-of-year donor communications.
- Prepare and distribute various administrative materials, including financial and administrative reports, gift acknowledgment letters, event invitations, and SOE news and information that helps increase brand awareness and trust among donors/prospects, volunteers, and the SOE Advancement Office.
Office Management
- Serve as the first point of contact for the office, answering donor, prospect, and faculty phone calls/emails; screen phone messages to resolve issues, answer questions, and distribute/follow up as necessary.
- Receive, process, and distribute mail and inter-office correspondence.
- Prepare and submit expense reports for the Assistant Dean of Advancement, create purchase requisitions for various office needs, and maintain office supply inventory.
- Serve as a liaison between the SOE advancement team and key partners, including internal partners (SOE Communications, Operations, and other Advancement units) and external constituents (volunteers, donors, and non-CU Boulder partners.
- Research and gather information on various topics as vital to expedite the flow of information to staff.
- Coordinate student employees, including providing training, assigning tasks, and providing oversight on administrative projects
- Resolve IT/software-related issues for the team.
What You Should Know
- This position has the ability to work a hybrid schedule with some days on campus and some days remote.
- This position will occasionally be required to come on campus work evenings/weekends.
What We Can Offer
The salary range is $55,640 - $62,000. annually. Relocation assistance may be available within Advancement guidelines.

What We Require
- Education: A Bachelor’s degree or equivalent experience or combination of education and experience.
- Experience: 1+ years of direct work experience.

What We Would Like You to Have
- Software Used: Microsoft Office products, donor tracking software (Salesforce/BSR Advance), Zoom, Teams, LinkedIn, DocuSign, m-fin, Marketplace, Concur, Marketing Cloud, WorkFront.
- 3+ years of experience supporting C-level or leadership level professionals with
- administrative work.
- Experience in or understanding of anon-profit or higher education environment.
- Experience working in customer service and/or an operations focused role.
