Who We Are
What Your Key Responsibilities Will Be
- Process and reconcile sale transactions, prepare deposit paperwork, and open and close POS till daily.
- Process journal entry requests for campus, direct, and internet sales.
- Administer the change fund by ensuring payments, cash fund and deposit transaction paperwork are secure, and reconcile the fund balance every day.
- Support the Property Services Program Manager with designing training for Property Services staff and external customers.
- Field customer requests for access and training for ReCoup, the Surplus Property Management System.
- Customize and generate reports for monitoring ReCoup system activity.
- Collaborate with Property Services staff, ensuring database inventory information is accurate.
- Facilitate electronic storage of transfer related documents, including uploading sales and shipping documents into ReCoup.
- Pay invoices and submit journal entries for Western Disposal refrigerator disposals.
- Coordinate process improvement initiatives, marketing and training initiatives, and other special projects in conjunction with Assistant Director.
- Create and maintain standard operating procedures for all work units, in collaboration with Distribution Services supervisors, managers, and Assistant Director.
- Monitor all department shared email accounts, supporting supervisors in providing timely responses to customers, and informing management of urgent or sensitive issues.
- Coordinate and support data analysis and reporting for all Distribution Services work units.
- Audit and approve financial reporting as provided to customers and FM Accounting, including resolving issues with fiscal year end.
- Coordinate employee appreciation events and all staff meetings.
- Provide primary front desk coverage, answer phones and assist walk-in customers.
- Collaborate with I&R Marketing and Outreach to update and maintain Distribution Services website pages.
- Onboard new employees.
- Manage DC building security systems, including card reader, door access, and alarm keypad security access.
- Handle departmental purchase transactions including payment voucher requests and purchase orders.
- Manage and procure office supply inventory, operating supplies, and safety equipment.
- Maintain department files and records, including organizing documents and folders.
- Prepare monthly Concur expense reports for department employees.
- Arrange business travel for Distribution Services employees.
- Handle the Business Reply account, including monthly entry of charges and receiving Business Reply mail.
- Handle monthly bookstore delivery, truck rental, and express delivery spreadsheets and process customer billing.
- Assist in locating and scanning out package pick-ups.
- Attend proctor meetings and handle service requests for DC maintenance and building repairs.
- Review work order status and follow up when appropriate.
- Schedule and manage agenda for monthly Safety Committee meetings.
- Create and submit DC surplus property disposals, and perform various assignments as requested.

What We Can Offer
- The annual salary range is $53,400 - $61,704.
- If you have prior state-classified experience in the same class series as this position, your pay may be set at a higher amount per the state Step Pay Program implemented on July 1, 2024.

What We Require
- Must be a Colorado resident to apply.
- 4 years of relevant work experience OR a combination of related education and/or relevant experience in an occupation related to the work assigned equal to 4 years.
What You Will Need
- Demonstrated problem-solving, critical thinking, and decision-making skills.
- Strong interpersonal communication, teamwork, and customer service skills.
- Ability to work independently with minimal supervision.
- Strong attention to detail and data entry experience.
- Proficiency with Microsoft office software.
What We Would Like You to Have
- Working knowledge of Concur, CU Marketplace, and AiM work management software.
- Experience managing software databases and performing data analysis and reporting.
- Experience in project management or coordination.
- Experience with event coordination.
- Experience with higher education organizations.
