Job Summary
The Office of Education Abroad at CU Boulder welcomes applications for the Enrollment Coordinator and Office Administrator! The position supports the Education Abroad (EA) office by acting as the following:
1) Unit enrollment coordinator and registrar;2) Office administrator;3) Front desk student employee supervision, and;4) Program assistant for a diverse portfolio of education abroad programs. This position provides essential administrative support and expertise for all EA teams.
Education Abroad is a unit within International Education in the Office of Undergraduate Education within the Division of Academic Affairs, at the University of Colorado Boulder. The mission of this unit is to develop, operate and maintain a comprehensive portfolio of education abroad programs for CU Boulder students and academic units, including study abroad, international student exchanges, international internships, faculty-led Global Seminars, faculty-led Global Intensives, CU in D.C. programs and international research and service learning. The unit is responsible for health and safety and risk mitigation for students going abroad on CU Boulder sponsored programs, and oversees campus support for International Travel Registration, in compliance with the CU Boulder Policy on Student International Travel and Programs.

What Your Key Responsibilities Will Be
Education Abroad Enrollment Coordinator & Registrar
- Serve as the EA Registrar and liaison to the Registrar’s Office
- Create courses & enroll students for Global Seminars and Global Internships:
- Build new and maintain existing Global Seminar, CU in D.C. and Global Internship courses in Campus Solutions (CU-SIS) and CLSS systems
- Coordinate the registration process for Global Internship students
- Enroll students in the appropriate EA placeholder course
- Admit non-degree students to CU Boulder for the purposes of receiving credit on UCB programs abroad
- Enroll CU in D.C. students in their appropriate courses in CLSS and CU-SIS and submit a grade plan to the Registrar's Office upon receipt of grade reports
- Process student withdrawals by either dropping them from the placeholder course or processing the COR form
- Remain up to date on CLSS and CU-SIS processes
- Work with students, the Registrars Office, and the EA Finance team on enrollment issues and assist, when possible, with resolving any enrollment holds or over-enrollments
- Maintain accurate communication with students regarding registration processes
Office Administration
- Provide administrative support to EA Director as needed, including scheduling and hosting visitors and/or conferences, doing research, etc.
- Assist EA staff with scheduling complex meetings, create room bookings, and assist with event catering and logistics
- Coordinate scheduling for faculty-director workshops, orientations, committee meetings, and other events
- Assist the Fair Coordinator with Fall Fair catering and logistics, alumni recruitment, and supply inventories
- Liaise with other campus units including building proctors, parking, facilities management, mailing services, etc.
- Organize and arrange for Property Services’ surplus pickup and disposal
- Maintain EA protocols and policies regarding staff health and safety while working in the office
- Take minutes at bi-weekly team meetings and Program Manager meetings
- Serve on various committees and task forces to help EA advance its strategic plan and improve upon office efficiencies
- Support staff members in the final stages of hiring processes for permanent employees including interview scheduling, etc.
Oversee Front Desk Operations
- Supervise, hire and train 2-3 EA front desk student employees (student employee level II)
- Coordinate with ISSS on scheduling, hiring, onboarding, training, and logistics
- Provide regular feedback to students, performance coaching, and be available to support and respond to questions
- Serve in a backup capacity to cover front desk shifts when primary front desk staff are out of the office
Program Assistant for Education Abroad
- Work with the Education Abroad Program Management team to support students and the administration of student applications.
- During the application cycle:
- Use EA’s CRM software Terra Dotta (TDS) to track students’ applications and communicate with students
- Assist PMs in the application and acceptance processes when requested
- Follow up with students via phone and email on incomplete or missing application pieces, discrepancies in application submissions, and incorrectly completed materials
- At the end of each term:
- Confirm participants by provider confirmation deadlines as appropriate
- Send EA student rosters to other campus units
- Enroll students in TravelTracker, CU’s safety and security resource provider for Global Seminar programs
- Serve as a member of the Orientation Team:
- Recruit alumni to attend pre-departure orientations
- Assist with scheduling and reserving rooms when needed
- Provide signage, handouts, and other necessary supplies
- Other duties as assigned

- Hybrid work schedule offered.
What We Can Offer
- $48,000 - $62,000, Relocation may be offered within departmental guidelines.

What We Would Like You to Have
- Bachelor’s Degree.
- Four years of experience in an administrative occupational field related to the
- work assigned to the position.
- One year of administrative experience at an institution of higher education.
- One year experience working in Campus Solutions Student Information System and CLSS course creation systems (or similar).
- Proficiency in using databases including TerraDotta global education software.
- Knowledge of CU Boulder.
- International experience.
