Job Summary

The Division of Continuing Education at CU Boulder is encouraging applications for the Enrollment Services Specialist position! This role supports the enrollment needs of the Division of Continuing Education’s (CE) credit and noncredit programs which include: CE Evening Credit, CE Online Credit, Summer Session, ACCESS, Extraordinary, the High School ACCESS program, and the Continuing Education Auditors programs. The Enrollment Services Specialist must be intimately familiar with all of the Division's programs, policies, and procedures as well as with the academic policies and procedures of various schools and colleges across the campus. This is a front-line, customer service position that serves on a dynamic team of Enrollment Services specialists and works with a wide variety of individuals from both the CU and Boulder communities.

What Your Key Responsibilities Will Be

Application and Enrollment Support:
  • Enroll students into classes/programs offered by or through CE. Including determining the individual’s current student status and whether or not a previous record exists; screening the applicant based on any applicable Division and University policies; and completing the required data entry into the University student information system (CUSIS).
  • Scan, capture, and index documents received through electronic sources, postal service, or in-person using OnBase, verifying that scanned documents are correctly indexed and are legible.
  • Review and approve suspended applications in the SLATE application tool.
  • Serve as a troubleshooter and problem-solver for enrollment-related and area specific questions and issues. Includes handling all non-routine registration situations, disseminating important enrollment-related program information to CE staff, and conferencing with the Records team, as necessary, to resolve enrollment and/program issues.
  • Be fully versed in the Legal Presence requirements for students receiving a state benefit for both domestic and international students. Communicate with students who are petitioning for in-state residency documentation requirements. Tuition Classification review in which unclear or complex information is forwarded to the next appropriate level of authority
Customer Service:
  • Answer the Enrollment Services telephones in a friendly and efficient manner, giving out information, or transferring calls as appropriate. This involves being logged into the “automatic call distribution” (ACD) TouchPoint system.
  • Access and respond to group email accounts.
  • Communicate with students who are petitioning for in-state residency documentation requirements.
  • Troubleshoot student issues with online course login problems- including using the University’s Identity Management systems.
  • Greet and assist customers who come to the enrollment services counter. Includes answering questions, handing out information, accepting and reviewing non-degree enrollment application forms, assuring the student financial obligation agreement is signed, enrolling students, and generally ensuring that each individual is fully accommodated.
Other Duties as assigned:
  • In addition to the responsibilities listed above, the employee may be asked to perform other related tasks or duties as needed to support the needs of the department or organization. These duties may include but are not limited to, assisting with special projects, cross-training, or supporting team members in various capacities.
Professional Development and Engagement:
  • Demonstrate a commitment to professional development and engagement by participating in professional associations, conferences, webinars, and/or pursuing formal education that supports the performance of your responsibilities and the goals of the organization. This objective may be partially realized via service on CE committees.

What You Should Know

  • The typical work schedule for this position is Monday - Friday 8:00-5:00 pm. The office does shift working hours during the summer months to: Monday - Friday 7:30-4:30 pm.
  • This is a hybrid position with necessary in-person hours. The current work modality is 3 days in-person and 2 days remote.

The annual salary for this full-time position is $47,000-$49,536.

What We Require

2+ years of administrative and customer service experience, including handling customer inquiries via email and phone.

What You Will Need

  • Strong customer service skills
  • Multicultural competence and experience working with diverse populations
  • Excellent verbal and written communication skills: Strong written and verbal communication skills to communicate clearly, professionally, and empathetically with customers.
  • Problem-Solving: Ability to handle difficult or complex issues efficiently while maintaining a positive customer experience.
  • Experience with Microsoft Suite (i.e. Outlook, Excel, etc.)
  • Attention to detail: Ability to accurately input and review data, identify inconsistencies, and ensure all customer information is processed correctly.
  • Time Management: Ability to prioritize tasks and handle time effectively, ensuring timely responses to customer inquiries.
  • Ability to work independently and as a member of a team. Organizational skills and ability to handle multiple priorities.
  • Ability to work effectively in a working environment with multiple interruptions.

What We Would Like You to Have

  • A Bachelor's degree.
  • 2+ years of administrative experience in higher education.
  • Familiarity with university or college enrollment procedures, including application processing and course registration.
  • Familiarity with CRM (Customer Relationship Management) software.
