Job Summary

The Events Assistant reports to the Executive Director for Events and Outreach in the Office of the Chancellor, and is responsible for professional support for the Executive Director, supervision of the Chancellor’s Office student assistants, and assistance with the coordination of high-level campus events and outreach initiatives. The ability to professionally represent the Office of the Chancellor and the campus at all times is essential.

What Your Key Responsibilities Will Be

Professional Support
  • Collaborate with the Events & Outreach (E&O) team. Instruct and counsel others in the use of methods, practices, procedures, rules, laws or related standards, for example those relating to university travel policies, branding, purchasing, etc.
  • Compile individual events and overall budget estimates and budget requests; track post-event accuracy, work with Office of the Chancellor to ensure all university procurement procedures are followed.
  • Work with Strategic Relations and Communications (SRC) to maintain the commencement and SET (Significant Event Team) websites.
  • Provide support to the Executive Director, particularly with scheduling and travel coordination. Respond to inquiries for meetings and schedule appointments, using knowledge of priorities and critical needs. 
  • Apply knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, and meeting quality standards for services.
Event Marketing and Logistics
  • Lead event marketing efforts including list management, invitation/response process, social and print media in coordination with partner offices such as OSR, advancement, alumni, advocates, etc.
  • Work with CVENT and Marketing Cloud. 
  • All printed materials, including programs, postcards, etc.
  • Provide logistical support to E&O for events including coordinating with vendors and venues, assisting with constituents questions and concerns, which includes coordinating all services to ensure successful events. Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
  • Assist with on-site event production, guest relations and clean-up. 
  • Support the reservation of campus and external space including scheduling, contracting, etc.
  • Provide event support to offices such community/government relations, schools and colleges, etc.
  • Support E&O with pop-up events as necessary.
Supervise student staff
  • Hire and train students.
  • Manage schedules and workflows.
  • Verify and approve time sheets.
  • Provide mentor-ship to ensure professional growth.

This position will regularly work evening/weekend hours.

Salary Range Starts at $43,000, commensurate with skills/experience.

What We Require

  • Bachelor’s or higher degree, or equivalent combination of education and related experience may substitute for the degree on a year-for-year basis

  • Excellent collaboration and communication skills, including both written and verbal communication
  • Attention to detail
  • Time management skills and flexibility
  • Valid driver’s license
  • Ability to lift up to 30 pounds

What We Would Like You To Have

  • At least 2 years of experience in events or the higher education industry
  • Experience with university computer systems including Concur, Marketplace, Cvent, marketing cloud, WebExpress, etc.
