Job Summary

The College of Media, Communication and Information at CU Boulder encourages applications for an Events Planner/ Event Manager! This role will be hired at either an Event Planner or Event Manager level, depending on the experience of the incumbent. This position is responsible for coordinating engaging events for internal and external constituents and serves as a point of contact for a core set of in-person and virtual college events such as graduation, public lectures and J-Day. This position also partners with administrative units and academic departments in charge of large-scale events such as orientation, homecoming, and admissions previews to provide logistical support. The events planner/event manager serves as resource for logistical event guidance for the entire college, manages the college events calendar, creates communication plans for events, and works at all times with inclusive values and practices as a foundation.

What Your Key Responsibilities Will Be

Planner/Lead Planner for CMCI College Events

  • Serves as the main point of contact and logistical coordinator for a core set of in-person events such as graduation, public lectures and college colloquia.
  • Develops, implements, and continually improves processes for event planning and booking, including maintaining an Events Toolkit for the college and staying up to date with available event spaces, on and off campus.
  • Works with communications and engagement team on an event communication plan, which includes invitations, calendaring, parking, registration links and/or stories for events.
  • Provides logistical support for events, including:
  • Serves as CMCI’s main Alcohol Designee at events per University procurement rules.
  • Schedules rooms and manages fees for event locations.
  • Orders catering and coordinates with caterers or external vendors for scheduling, estimates, billing and invoice management.
  • Manages event budgets, including sourcing vendors to secure competitive pricing, tracking budgets, routing contracts and invoices for payment, and ensuring all invoices are paid in a timely manner.
  • Purchases and tracks all supplies associated with events including furniture and linen rental, décor, gifts, etc.
  • Supervises student workers to assist with pre-planning and day-of duties.
  • Recruits and supervises volunteers in their assigned roles during events.
  • Conducts event debrief meetings in a timely manner and determine ways to improve the event.
  • Make recommendations for event efficiencies, redundancies, and potential event collaboration.
  • Ensures all events are accessible for attendees. This includes but is not limited to coordination of closed-captions, translation or interpretation (including ALS) services, ADA accommodations, etc.
  • Coordinates with various on-campus offices, including the Campus Alcohol Agent, Event Security and Emergency Management, Parking and Transportation, etc.
  • Sets up registration using the university’s official platforms (Cvent/Salesforce and/or Web Express/Drupal, Localist).
  • Orders college-branded merchandise for events.
  • Periodic inventorying of supplies and storage spaces to ease with event planning and execution year round.

Supporting Unit Events

  • Partners with CMCI units in charge of large-scale events such as orientation, admissions previews, student engagement events (Be Involved Fair, Family Welcome, Student Showcase, Career and Internship Fairs), advisory board meetings, and homecoming to support staffing and to provide logistical support.
  • Supports event organizers in CMCI departments and centers hosting large public events or conferences.
  • Works closely with event organizers to understand planning, timeline, staffing and production needs for events.

What You Should Know

  • Hybrid, Monday-Friday, 8-5 with occasional evenings and weekends for events.
  • Some lifting required for event set-up and tear down.

What We Can Offer

Events Planner salary range: $51,000- $59,200. Event Manager salary range: $61,200- $75,000. Relocation assistance is available.

What We Require

Events Planner

  • Bachelor’s degree and 1 year professional event management experience. Equivalent experience on a year-for-year basis may substitute for the degree requirement.
  • ServSafe certified within one month of start date.

Event Manager

  • Bachelor’s degree and 3 years professional event management experience for large functions with several hundred attendees. Equivalent experience on a year-for-year basis may substitute for the degree requirement.
  • ServSafe certified within one month of start date.

What You Will Need

  • Demonstrated strong written and verbal communication skills.
  • Good organizational skills.
  • Demonstrated experience with event logistics coordination and managing event budgets.
  • Attention to detail and ability to simultaneously manage multiple projects.
  • Proven success as a collaborator and relationship builder, with strong interpersonal skills and ability to build collations and collaborative relationships with a broad range of diverse individuals and groups, including senior executives, to achieve results.
  • Ability to exercise a high degree of diplomacy, discretion, and collaboration in working with constituents including employees, students, volunteers, alumni, donors, and campus colleagues, including employees, students, volunteers, alumni, donors, and campus colleagues.
  • Demonstrated ability to proactively anticipate user experience outcomes and take action to plan in advance to mitigate challenges.
  • Proficiency with Microsoft Office suite. 

What We Would Like You to Have

Events Planner

  • One plus years experience planning events for 200+ attendees.
  • Familiarity with or experience using Event Management Systems.
  • Familiarity with procurement rules for events including those with alcohol and associated alcohol protocols.
  • Familiarity with Adobe Creative Cloud, Salesforce/Cvent and Zoom.
  • Social media management experience.
  • Experience with promotional branded swag procurement.

Event Manager:

  • All of the above plus:
  • Three plus years experience independently directing, planning and managing a variety of non-standard, unique events for 200+ attendee including logistics, budgeting, communications and security.
  • Lead experience directing others on event management.
