Job Summary
The College of Engineering and Applied Science (CEAS) Office for Faculty Advancement encourages applications for the Faculty HR Coordinator! Our office partners with units and the University of Colorado Boulder (CU Boulder) campus to design and implement policies, processes, and procedures for tenure-track, teaching-track, and research-track faculty as they advance in their careers. CEAS currently comprises more than 18 departments, programs, and centers; and has approximately 400 faculty.
The Faculty HR Coordinator will provide professional support, working as a member of the CEAS Faculty Advancement (FA) team. This role will assist with onboarding/offboarding, changes to faculty appointments, recognition and mentoring programs, faculty recruiting, faculty career lifecycle and promotion review processes, varied appointments (e.g., leadership, temporary), leaves of absence, sabbaticals, communications, and event support. The Faculty HR Coordinator will maintain compliance with unit, college, campus, university, and state policies and procedures. The Faculty Advancement Coordinator will also be responsible for working closely with the CEAS Faculty Advancement team on leading special projects. This position formally reports to the Associate Dean of Faculty Advancement (ADFA).

What Your Key Responsibilities Will Be
Faculty Career Lifecycle Support:
- Assists with College-Level Promotion & Review Processes.
- Helps prepare workbooks, documents, and timely communications for faculty related to annual evaluation processes.
- Helps facilitate meetings and the logistics for the review process, engaging with CEAS tenured/tenure-track First Level Review Committee (FLRC) and the Teaching Professor Promotion Review Committee (TP FLRC) activities.
- Collaboratively manages the routing, tracking, and retention of faculty promotion and reappointment materials.
- Engages with process management and establishes project timelines, ensuring that all materials are submitted to the CU Boulder Office of Faculty Affairs (OFA) by the established deadlines.
- Assists with Processing Faculty Offer Letters.
- Works with units, the Dean, and the HR Faculty Specialist to process faculty offer letters.
- Collaboratively manages the routing, tracking, and signing of faculty offer letters.
- Processes Leadership Appointments.
- Works with units, the Dean, and the HR Faculty Specialist to post, document, and process leadership appointments.
- Collaboratively manages the routing, tracking, and retention of faculty leadership appointments.
- Maintains associated documentation and records.
- Processes Faculty Leave Applications (e.g., sabbaticals, differentiated workloads, etc.)
- Helps prepare workbooks, documents, and timely communications for faculty related to leave application processes.
- Maintains associated documentation and records, ensuring that all materials are submitted to OFA by the established deadlines.
- Supports the Faculty Mentoring Program.
- Supports the ADFA in developing, implementing, and managing the Faculty Mentoring Program.
- Establishes and tracks mentor assignments.
- Develops communications to facilitate engagement between mentors and mentees on specific career topics.
- Maintains all program documentation and records.
Faculty Advancement Team Support:
- General Team Administrative Support.
- Provide the Office of Faculty Advancement team—including the Associate Dean of Faculty Advancement, Faculty Development & Recruitment Specialist, and HR Faculty Specialist—with administrative support, including but not limited to the following:
- Scheduling and providing administrative support of FA meetings and trainings.
- Responding to requests and queries including analysis, document preparation, and communication/follow up.
- Assembling data, inputting complex and/or confidential reports, and general correspondence.
- Long-Term Project Support.
- Assists with long-term projects and implementation, including performing necessary administrative and operational support tasks, researching proven practices, and proposing process improvements.
- Longer-term project support may include routine tasks and/or specialized projects.
- Records/Data Management & Performs Training Audits.
- Maintains accurate faculty records via electronic filing systems and conducts quarterly audits to maintain compliance with college policies and/or regulations.
- Office of Faculty Advancement Communications.
- Is responsible for the maintenance and updates to communication channels managed by the Faculty Advancement Office. This may include but is not limited to the following:
- Assisting with CEAS Office of Faculty Advancement communications (e.g., website revisions, newsletter articles, topical content/guidance, etc.).
- Managing updates to email listservs for faculty.
- Responding to general questions, directing folks to appropriate resources, tools, and contacts.
Faculty Recruitment and Search Process Support:
- Coordinates annual workshop and training dates, setting up meeting times and locations, and arranging for guest speakers.
- Assists with tracking general faculty, search committee, and search chair training attendance and/or activity completion to ensure necessary compliance with policies and procedures.
- Conducts follow-up with units and search chairs to ensure completion of any search process (e.g., search protocol) documentation.
- Provides logistical search committee support and Avature system support as needed.
- Assists with tracking campus visits and coordinating college-level welcome materials.
- Supports faculty onboarding activities (e.g., HR tasks, dual career program, relocation assistance program, etc.).
Faculty Recognition and Other Event Support:
- Supports and facilitates the scheduling, logistics and execution of faculty events under the direction of the ADFA. This includes events geared toward specific faculty processes and check-ins, as well as topic-based training and workshops hosted by the FA team.
- Typical tasks include placing rental, catering, or purchasing orders; paying and reallocating expenses; creating official function forms; and obtaining necessary approvals. Event support may also include set up and clean up, as well as occasional work on weekends and evenings.
- Collaborates on the planning and day-of event management for the annual CEAS New Faculty Orientation.
- Coordinates recognition of faculty promotion and tenure landmarks, including planning and event management for annual faculty promotion and tenure award celebration(s) for tenured/tenure-track and teaching track faculty.
- Assesses possible award opportunities across the campus and CU system, assisting with CEAS submissions for staff and faculty awards as needed. Manages merchandise orders, requests, inventory, and associated budget.

What We Can Offer
The starting salary range for this position is $60,000 - $65,000 annually. Relocation assistance is available within department guidelines.
