Job Summary

The College of Media, Communication, and Information (CMCI) encourages applications for a Graduate Program Manager! The Graduate Student Program Manager coordinates with the Associate Dean of Graduate Programs (AD), the Graduate Advisor (Advisor) and the Personnel Program Director to supervise all administrative aspects of the graduate student programs of the College. This includes but is not limited to working with College and Department leadership to develop and implement recruitment, retention and intervention strategies to ensure the academic success of the College’s current and future graduate students and programs; to supervise and support the Advisor to ensure that current and future graduate students meet degree requirements as set by the programs of the College and of the Graduate School; to serve as the primary administrative liaison to the Graduate School for university policy and process compliance issues; to administrate all aspects of graduate student employment; and to support the administration of College and University fellowships and student funding.

What Your Key Responsibilities Will Be

Manage the Administration of the Graduate Programs

  • Serve as the College liaison to the Graduate School on matters of process and policy, acting as the primary point of contact and subject matter expert in the College for routine inquiry and response communications.
  • Manage the College level administrative support to the graduate programs, developing and maintaining processes that follow federal and state law, University, Graduate School, College, Departmental and Program policies.
  • Advise and participate in the development and implementation of student recruitment, retention and intervention strategies.
  • Track, maintain, and analyze current and historical student enrollment data to support College strategic graduate program initiatives.
  • Work with the AD and Advisor to facilitate and to manage the organization of on campus events including graduate student orientation and informational workshops, graduate student recruitment events, and seminar speakers.
  • Develop and maintain a job manual reflecting the duties, responsibilities and resources necessary for the position.
  • Supervise and serve as backup support to the Advisor.

Student Recruitment and Orientation

  • Serve as the primary liaison with the Graduate School to ensure that admissions applications are complete, that fee waivers and application requirement waivers are properly processed, etc.
  • Administrate the student admissions process, communicating and coordinating with associate chars of graduate studies for each CMCI program (ACs) and graduate program directors (directors) to ensure that completed applications are provided for faculty review, that decisions are processed and that deny, and admission letters are released in a timely manner.
  • Coordinate with the Graduate School, the AD, the Advisor, ACs and directors to communicate with applicants and incoming students to ensure that all requirements for each stage of admissions and matriculation are satisfied.
  • Maintain updated program specific deny and admissions letters for release to applicants with decisions.
  • Coordinate with the AD and Advisor to organize and conduct the annual new graduate student orientation.


  • Manage College graduate program modes of communication, including the graduate office email and listservs.
  • Working with the Communication and Engagement team (Comm & Engagement) and the Advisor, update and maintain current graduate program information on the CMCI website.
  • Working with the Advisor, provide monthly newsletter content to Comm & Engagement.
  • Annually, work with the AD, ACs, Advisor, and the Graduate School to provide accurate and updated lists of graduating student information for commencement programming.
  • Provide routine communication with graduate students about assistantship funding matters, internal and external funding opportunities for research and creative work, and scholarships.

Manage Student Assistantship/Employment

  • Coordinate with the AD, the ACs, and the CMCI HRSC liaison to administrate the execution of graduate student faculty appointments, assistantship appointments, and fellowships throughout the year, including drafting and routing offer letters for Fall, Spring and Summer appointments.
  • Coordinate with the HRSC liaison, Bursar’s Office, etc., as necessary, to ensure that tuition remission for eligible appointments is processed in a timely manner.
  • In coordination with the Personnel Director, establish and maintain graduate student employment processes that follow Federal and State law, University, Graduate School, and College policy.
  • Coordinate with the Personnel Director to provide support and guidance to faculty supervisors of graduate student employees, fielding inquiries and providing resources as appropriate.
  • Coordinate with the Personnel Director to ensure that graduate student employees are well informed about available employee resources, including Graduate School paid parental leave benefits, sick leave benefits, the office of ADA, FSAP, etc.
  • Coordinate with the Personnel Director to identify emerging employment challenges and to elevate urgent matters through the appropriate channels.

What You Should Know

This position will work in a hybrid format, with some in person and some remote work.

What We Can Offer

The annual salary range is $58,000-$60,000. Limited relocation assistance is available.

What We Require

  • Bachelor’s degree from an accredited institution.
  • Three years of professional-level experience in an academic or student service role in higher education.
    • Equivalent combination of education and experience may substitute.

  • Willingness to work in an environment which may demand some flexibility or evening/weekend work.

What We Would Like You To Have

  • Three to five years of professional experience in graduate program administration in higher education.
  • Experience with graduate student admissions and recruiting cycles and processes.
  • Experience supervising staff.
  • Experience with on-line application software for graduate student recruiting and admissions (Slate) or related student systems.
  • Working familiarity with University of Colorado’s Campus Solutions, or CU-SIS or related student systems.
  • Experience with program marketing and communications.
  • Demonstrated experience working with student records management software.
