Job Summary

The Office of Contracts and Grants (OCG) with CU Boulder is currently accepting applications for a Grant Administrator! This position is responsible for administrative support functions for the OCG Grants Team throughout the life of the grant or agreement, including:
  • Logging grants and contracts into the electronic research administration (eRA) system and routing them to team members to review;
  • Monitoring the Grants Team email box and forwarding correspondence;
  • Reviewing grants and processing data and budget information into the eRA system;
  • Ensuring compliance with University business processes and policies, and requirements with accessing Sponsor systems;
  • Drafting and reviewing procedural documentation for grant administration;
  • Advising and assisting faculty and researchers on the appropriate information needed for administrative requests on grants; and
  • Resolving quality assurance issues with the Campus Controller’s Office (CCO) on actions that require clarification in the eRA system.
The expertise provided by the Grant Administrator includes a) a basic knowledge of federal regulations, state statutes, University policy, standard methodologies and system requirements; b) an understanding of the administrative processes and procedures for grants and agreements, both internal and external to the University; c) helping faculty and researchers navigate these processes; d) an ability to read and interpret budget of sponsored projects; and e) an ability to represent the University to external sponsors and provide liaison with internal departments, (e.g. Campus Controller’s Office, Venture Partners and Intellectual Property, University Counsel, Risk Management, Conflict of Interest, Export Control, Institutional Review Board, Institutional Animal Care and Use Committee).

The mission of the Office of Contracts and Grants (“OCG”) is to, throughout the lifecycle of an award, partner with the University of Colorado Boulder (“University”) faculty including Principal Investigators (“PIs”), staff including Department Research Administrators (“DRAs”), and students to obtain and manage external support for sponsored activities through our specialized regulatory and organizational expertise. OCG is committed to protecting the University’s interests by reviewing and approving the submission of sponsored project proposals; negotiating contract and grant awards; monitoring the implementation and administration of sponsored projects; initiating and implementing policies and procedures; providing training to PIs and DRAs; and serving as the University’s liaison with Sponsors and regulatory agencies.

What Your Key Responsibilities Will Be

Award Logging, Processing and Budget Review
  • Develop knowledge base of research administration to independently complete sponsor forms, send out and track approvals, manage, coordinate and complete submission of Sponsor admin requests and complete required documentation and approvals resulting in minimal redirects while ensuring compliance with Federal processes.
  • Set up and manage user accounts for the Boulder campus and working with the sponsor's technical support staff to resolve any system or account related issues. 
  • Have a thorough understanding of OCG business processes and procedures.
  • Log and process new awards and modifications with minimal direction or redirects.
  • Independently enter budgets in the account code format required for InfoEd.
  • Independently validate, verify, enter and if necessary, edit data in InfoEd.
  • Manage documentation in InfoEd. Verify required documentation is uploaded. Make corrections as needed.
  • Train staff on award logging and processing, sponsor systems and other special projects. Develop and revise training as needed.
Project Management Coordination
  • Gain knowledge of database software and/or functionalities to complete daily tasks.
  • Serve as the campus administrator for sponsor systems. Capable of using and identifying revisions to training resources and documentation.
  • Makes improvements to established guidelines for information management.
  • Assist with development, revision and finalization of process documentation as it relates to the work of the Grants team.
  • Makes informed decisions independently. Able to identify gaps and develop solutions.
  • Demonstrates flexibility and the ability to prioritize competing goals and requirements in a fast paced environment.
  • Demonstrate strong attention to detail and high level of organization to routinely complete tasks with accuracy.
  • Review and track requests from researchers and department administrators and ensure the timely submission of requests to sponsors. 
  • Manage inquires received from general email boxes. Re-direct inquires to offices beyond OCG as required.
  • Advise leadership on upcoming changes or system updates and provide recommendations on any affected campus procedures.
  • Gather and analyze data in response to management requests. 
  • Identify important details in their work and others that may need correction or improvement. 
  • Generate ideas for special projects. Assist as assigned.

This work modality for this position can either be hybrid or remote.

What We Can Offer

The annual base salary for this position is $52,000.

What We Would Like You to Have

  • Previous experience in working with contracts and grants.
  • One year of prior translatable work experience (reviewing technical, legal and/or financial documents, data entry, customer service).
  • Experience in research administration or similar field. 
  • Demonstrated proficiency in the use of Microsoft Office Suite.
