Job Summary

The School of Education is seeking a HR & Payroll Coordinator who will be an essential member of the HR and Finance team, providing support services for human resource and payroll functions within the School of Education. This position is ideal for a detail-oriented person familiar with HCM (or Oracle) looking to gain experience in an academic unit. In a position that is as much outward facing and student-involved as it is transactional, this is an opportunity to work with students, faculty and staff while refining your expertise in a variety of HR and payroll functions and other technologies such as MyLeave, HCM and Excel.

As an essential member of the HR and Finance team, this position officially reports to the Director of HR (00667841). The Human Resources and Payroll Manager will provide support services for Human Resource and payroll functions within the School of Education. 


 

What Your Key Responsibilities Will Be

Human Resource Specialist
Serve as the HR Coordinator for all graduate student appointments, adjunct lecturer and student teacher supervisor appointments in the School of Education each semester, including summers. This includes, but is not limited to: 
  • Collaborate with key staff, program chairs and faculty across the School of Education to identify and hire all graduate research assistants, adjunct lecturers and student teacher supervisors each semester.
  • Effectively communicate policies and processes related to graduate student appointments, lecturer appointments, onboarding information and graduate faculty appointments to faculty, staff and students. 
  • Develop and maintain an accurate, systematic process for compiling, verifying and tracking all necessary hiring information.
  • Collaborate with HR-Finance team to develop effective mechanism for verifying and tracking funding availability for all appointments prior to hiring. 
  • Draft offer letters for each appointment, route for signature via DocuSign, track outstanding letters, enter appointments into HCM.
  • Manage the hiring, onboarding, orientation and reappointment process for new PhD students, adjunct lecturers, and supervisors.
  • Manage, track and verify PhD student fellowships and tuition remission process.
  • Collaborate with colleagues in the BUENO Center to track main campus and continuing education course proposals and set up adjunct lecturers. 
  • Prepare Graduate Faculty appointments for all SOE and BUENO faculty for both courses and dissertation committees.
  • Advise the BUENO Center on hiring and payroll functions for Graduate Research Assistants and Adjunct faculty.
  • Responsible for knowing and interpreting CU Graduate School policies pertaining to Graduate Research appointments, Graduate Faculty appointments  and tuition remission.
  • Monitor CU system changes related to HCM, MyLeave and HR policies and processes. 
 
Payroll Management 
  • Monitor and verify employee payroll, run payroll reports, investigate and resolve payroll errors, verify funding and change funding distribution, request additional pay when appropriate, submit overpayment forms and Hand Drawn Warrant requests when necessary.
  • Serve as the unit expert on MyLeave: This includes but is not limited to: 
    1. Stay up to date on changes in the state and campus policies and procedures through regualar attendance to PPL meetings, webinars, and HCM communications; 
    2. Recommend changes to internal SOE policies as needed; 
    3. Instruct and train employees how to complete timesheets and MyLeave, answer technical questions, troubleshoot and resolve MyLeave issues for supervisors; 
    4. Verify MyLeave balances and enter adjustments as needed, manage year-end verification process, 
    5. Send regular email reminders, maintain, track and upload monthly leave reports; 
    6. Verify separation and retirement payouts 
  • Serve as payroll liaison for graduate student appointments and adjunct lecturers; Create new positions in HCM, enter changes to positions, funding distribution and employee records as needed. 
  • Design and maintain an effective process for systematically tracking, processing and monitoring PETs for all SOE funding sources. 
  • Responsible for knowing and interpreting all CU policies and guidelines relating to the Additional Pay process for employees. 
    • Regularly evaluate the additional pay process guide and update to reflect campus HR changes, communicate any changes to program area and center managers. 
    • Prepare and route additional pay forms, verifying they are in compliance with university and sponsored project purchasing policies, and investigate issues and resolve problems as they arise. 
    • Design and maintain an effective system for tracking and reconciling all Additional Pay forms. 
  • Assist in entering all adjustments to faculty appointments, such as leaves, sabbaticals, and buyouts, short work breaks, summer salary, performing salary calculations with a high level of accuracy. 

Professional Support to Director of HR
This position will provide assistance to the SOE Director of HR by: 
  • Enter new faculty and staff appointments into HCM as needed.
  • Stay up to date with the rules and regulations pertaining to the hiring processes in HCM. 
  • Work collaboratively with the Director of HR and the HR and Finance team to identify policy and process issues, research, analyze, recommend and implement process changes and best practices related to graduate student appointments, adjunct faculty, payroll, hiring and onboarding new employees, updating relevent process guides, templates, handouts, and forms as needed. 
  • Compile and collect data for annual reports.
  • Additional duties and special projects as they arise.

What We Can Offer

The anticipated starting salary for this position will be $42,000. Commensurate with experience.

What We Require

  • Bachelor's degree from an accredited college or university in Human Resources Management, Business Administration, Public Administration, Social Sciences, or other related field. 
    • Note: Full-time professional experience working in Human Resources and/or payroll management may substituted for the bachelor’s degree on a year-for-year basis.
  • Professional level experience in human resources and payroll management in a private sector or university setting.  
 

What You Will Need

  • Proficient Microsoft Office skills, particularly in excel.
  • General knowledge of accepted human resource principles and governmental accounting procedures and policies.
  • Ability to analyze payroll reports, identify errors, investigate potential solutions.
  • Prioritize tasks to meet multiple monthly deadlines.
  • Strong written and verbal communication skills.
  • Establish and maintain effective and positive working relationships with others.
  • Motivated, pro-active and willing to take initiative.
  • Ability to work in a team environment.
  • Effective organizational skills with a strong attention to accuracy and detail.

What We Would Like You To Have

  • Two or more years of experience in payroll management and/or human resources at a professional or university level.
  • Working knowledge and experience with the University of Colorado’s ELEVATE project and the associated HCM and finance systems.
