The Interim Executive Assistant (EA) to the Vice Chancellor for Advancement is a strategic administrative partner who plays a critical role in advancing the priorities of the VCA and supporting the division’s leadership. This full-time interim position is expected to last approximately three months, during which a search for the permanent Executive Assistant will be conducted.

The Executive Assistant handles a dynamic, high-volume calendar; coordinates complex meetings with internal and external partners; and supports projects that enhance organizational effectiveness and donor engagement. This role also serves as an administrative partner in the VCA’s fundraising efforts by assisting with outreach, meeting preparation, and follow-up.

The EA is a trusted liaison across Advancement and with campus and system leadership, requiring discretion, integrity, and sound judgment. This is a highly visible and high-impact role ideal for a seasoned professional who thrives in a fast-paced, mission-driven environment and understands the nuances of executive and donor support at the senior leadership level.

What Your Key Responsibilities Will Be

Executive Administrative Support to the VCA
  • Serve as the primary point of contact for the VCA’s calendar; manage and prioritize a sophisticated, high-volume scheduling environment.
  • Coordinate and complete logistics for internal and external meetings with campus leaders, CU Foundation staff, system colleagues, and donors.
  • Prepare meeting agendas, track follow-up items, and ensure alignment on key deliverables.
  • Represent the VCA in written and verbal communications, maintaining professionalism and confidentiality at all times.
  • Arrange and manage all aspects of travel for the VCA, including itineraries, hotel accommodations, flights, and reimbursements.
  • Draft, review, and edit correspondence and presentation materials (PowerPoint, Excel, Word).
  • Serve as delegate and approval authority for expense and leave reports in Concur for the VCA.
  • Serve as liaison between the VCA and the Advancement Leadership Team (LT), assisting with special projects and LT-wide initiatives as needed.
  • Maintain compliance with CU policies and administrative procedures, including procurement and financial processes.
Development Support and Donor Engagement
  • Assist in planning and coordinating outreach for the VCA’s donor meetings, including scheduling, background research, and materials preparation.
  • Track and manage follow-up tasks related to donor engagement; enter and monitor progress within Advancement databases.
  • Collaborate with gift officers and donor relations staff to ensure seamless coordination on donor strategy and stewardship.
  • Support the preparation of briefings and materials for donor and fundraising-related events involving the VCA.
  • Pulls and prepares reports and spreadsheets from the donor database, enters contact reports, and submits proposal and pipeline updates on behalf of VCA.
Leadership Team and Advancement-wide Event Support
  • Actively engage with other Advancement Leadership Team administrative professionals to help address operational challenges and enhance coordination across the division.
  • Participate in division-wide planning and support for meetings, events, and projects.
  • Track and manage shared tasks, set timelines, and special projects on behalf of the VCA and the LT.

What You Should Know

  • This position has the ability to work a hybrid schedule with some days on campus and some days remote.
  • This position will occasionally be required to work evenings/weekends.
  • This is a temporary, full-time position.

What We Can Offer

The hourly pay range for this position is $32.69 - $36.06.

What We Require

  • Education: Combination of education and experience equivalent to a Bachelor’s degree.
  • 3 years of experience that includes:
    • 2+ years of providing professional-level operations or administrative support for executive level positions.
    • 2+ years experience in an Executive Assistant position or similar, which included calendaring and supervision.
    • Demonstrated proficiency in Microsoft Office applications including Outlook and Excel.
    • Previous donor engagement.
