CU Boulder Libraries seeks applicants for our Events Coordinator and Receptionist! This position provides event coordination support for faculty and staff in the University Libraries and, as our receptionist, is also the initial contact for visitors to the Dean's Office. Our Events Coordinator has an important role in providing event and financial budget support. In this always interesting role, you will interact with a wide range of staff, faculty, students, alumni, and community members. As our front-line contact, your active problem-solving and effective interpersonal skills will be put to excellent use.

What Your Key Responsibilities Will Be

Events Coordinator
  • Coordinate all logistical aspects of events for CU Libraries throughout the year, including scheduling, arranging for catering, room reservations, and overseeing related mailings. Events may be in-person, virtual, or hybrid. Events may be internal to the Libraries, involve advancement components, and or target campus constituents as a form of outreach. Events include staff professional development workshops, new faculty lunches, new and promoted employee recognition ceremonies, the annual winter party, student appreciation lunch, and Libraries Development Week. 
  • This position is the point person for catering needs in Norlin Library. 
  • Determine, write, communicate, and implement Libraries policies and procedures for event support. 
  • Be the main point of contact for event organizers/library leads/outreach coordinators to understand event needs as well as confirm all needs are met for each event. 

Receptionist and Acting Executive Assistant to the Deans
  • Primary receptionist in the Administration office suite. 
  • Greet and direct visitors at the receptionist desk.
  • Handle a wide variety of queries from a variety of constituents and direct to appropriate locations relying upon a detailed knowledge of the building and the Libraries organization. 
  • Provide back-up for various Deans’ Administrative Assistants. 
  • Assist with scheduling, as well as annotating, analyzing, and editing meeting summaries and reports. 
  • Provide back-up for the Centrally Managed Room Scheduler, and, in coordination with appropriate individuals, support the reservation of all centrally managed spaces in the Libraries.
Professional Development, Other Duties, and Special Projects
  • Participation in continuing education and training programs, participation in professional organizations, and research. 
  • Complete special projects as requested with discretion and confidentiality, thinking critically about the goals of the project, proactively anticipating the needs of the Deans, and completing the project accordingly. 
  • Miscellaneous, unexpected tasks frequently arise in the office. 

What You Should Know

This role may require occasional evening and weekend work.

What We Can Offer

The base salary range is $36,000 to $45,000. The final offer will be determined by a comparison of experience and education levels of incumbents in similar positions.

What We Require

  • Two years of experience in an occupational field related to the work assigned to the position.
    • Appropriate education will substitute for the required experience on a year-for-year basis.
  • Colorado residency.
  • Valid driver's license or the ability to obtain one within 1 - 2 months of hire.

  • Strong dedication to details and accuracy.
  • Ability to work effectively in a demanding environment, balancing multiple priorities and meeting deadlines.
  • Ability to work independently and take initiative to anticipate and address potential problems.
  • Computer proficiency (especially Excel, Outlook, and SharePoint).

What We Would Like You To Have

  • Bachelor’s Degree.
  • Knowledge of and experience using HCM or similar systems.
  • Experience working with faculty and staff.
