Job Summary
The Division of Continuing Education (CE) at CU Boulder encourages applications for the Marketing Coordinator position! The Division of CE extends the resources of the University of Colorado Boulder by providing programming and learning opportunities to a wide range of students. This is a full-time, professional position that reports to the Assistant Director of Marketing in the Division of Continuing Education.
The Marketing Coordinator works with the Assistant Director of Marketing and the Marketing Manager to provide reliable support to the Marketing Team and project management from kick-off to completion. General responsibilities include assisting in the execution of all marketing team projects and deliverables; coordination and delivery of CE-associated advertising; regular semester content updates on CE-led website; and coordination with the Marketing Manager to provide support and clear blockers to ensure the Marketing Team’s efficiency and productivity.

What Your Key Responsibilities Will Be
Organization of New and Ongoing Marketing Projects:
- Assist the marketing manager in managing new and ongoing projects across the marketing team. This involves coordinating with Marketing Team staff and the Division’s program managers to capture information, track progress, identify roadblocks, and assist with production when appropriate.
- Support the team’s project information needs to ensure consistency of projects semester-over-semester/year-over-year by identifying and maintaining project calendars, and organizing relevant files for the team’s day-to-day use.
- Lead project changes and resolve barriers to completion by advancing changes in information, timing, and other variables necessary for a project’s completion, in consultation with the Marketing team. Regularly coordinate with the Assistant Director of Marketing to decide how and when to set and adjust priorities for the team, as necessary. This involves creative problem solving and the active use of communication skills to ensure alignment across the Marketing Team and other collaborators.
- Maintain a repository of marketing assets, including photos and videos, as well as digital and physical archives of completed projects for future reference and use, following best practices for marketing and communication teams.
Coordination and Production of Marketing Materials and Advertising Assets:
- Management and delivery of existing program-specific print materials by working with program staff to identify needed updates/changes, acting as the liaison with the external creative agency, and facilitating print production.
- Work collaboratively with the Marketing Manager to coordinate and lead advertising for CE and its associated programs. Maintain an advertising calendar that includes ad due dates, run dates, advertising specs, a contact list, and an up-to-date status of advertising budgets by channel. Coordinate the timely delivery of production-ready files to vendors, partners, and other collaborators. This responsibility specifically includes relationship management and tracking of assets related to advertising through CU Boulder’s Alumni Association.
- Management and production of promotional materials (swag), including working with program representatives the identify needs, researching available products, working with an outside vendor on production, running distribution, and maintaining an accurate inventory.
- Production of the annual Continuing Education wall calendar, including information gathering, acting as the liaison with the external creative agency, facilitating print production and running distribution across campus.
- Provide support to the Marketing Automation Specialist as needed. This may include updating email messages, participating in the QA/QC process, facilitating the distribution of time-sensitive messages, and general back-up on any email or event-related tasks within the CRM.
Coordinating Regular Website Updates:
- Work collaboratively with the Senior Web Manager, Communications Manager, and other members of the Marketing Team to maintain CE-managed websites. This includes coordinating the production schedule, updating information on the main CE website, CU Boulder Online website, and other CE-maintained web properties, and participating in the QA/QC process to ensure information is accurately published in a timely manner.
Invoice Processing:
- Tracking of incoming invoices, verifying services rendered, and timely payment of invoices related to advertising.
Department Software Licensing:
- Partner with OIT and the Senior Web Manager to ensure the software vital for the marketing team to operate efficiently is up to date and working properly, including the use of Adobe Creative Cloud. This assumes working knowledge of the associated software and how that software is used by marketing teams to produce their work.
Division Support, Professional Development, and Other Duties as assigned:
- Participate in Division- and university-wide committee work and attend regular staff meetings.
- Engage in regular and ongoing professional development specific to job duties
- Other duties as assigned by the Assistant Director of Marketing.
What You Should Know
Monday-Friday, typically 8:00-5:00, hybrid schedule with the expectation that staff will work in-office no less than 2 days per week. Occasional after-hours and weekends may be required.
What We Can Offer
The annual salary for this full-time position is $57,101 - $60,000. Onboarding or relocation assistance may be available per divisional guidelines.

What We Require
- Bachelor's degree in journalism, communications, marketing, or a related field
- 2+ years of successful project and/or program coordination required
- Project management experience in marketing, communications, and/or event management
- Experience using project management software to organize a small team of communication/marketing professionals
- Experience with the process of web publication and Content Management Systems
- Proven working knowledge of Microsoft Office
What You Will Need
- Management of projects related to communication, marketing, and/or design work
- Excellent organizational skills related to marketing project coordination
- Excellent verbal and written communications skills, including the ability to synthesize information clearly and concisely, both verbally and in writing
- Experience with complex administrative responsibilities in a setting that requires flexibility, customer service skills, and the ability to learn and respond quickly
- Proven ability to work within time and budget restraints
- Ability to set and meet due dates, track project progress, and communicate scheduling challenges
What We Would Like You to Have
- Experience with the marketing and communication of adult education or higher education work experience in an ad/graphic design agency
- Experience coordinating schedules, creating and producing print and digital advertising
- Event or trade show experience
- Print production coordination experience
