Job Summary

The University of Colorado Boulder Advancement Marketing and Communications team encourages applications for a Marketing and Communications Assistant! Reporting to the Executive Director, this position is a critical support role for team operations. This position exercises a high level of confidentiality and is responsible for a wide range of operational support that includes project management, budget, events, calendar coordination, and general office management.

What Your Key Responsibilities Will Be

Marketing and Communications Project Management

  • Plans and implements events on behalf of the Marcom office including but not limited to team building activities, staff appreciation, breakfast or lunch meetings, staff training, staff retreats, retirement and recognition events either on campus or off-site.
  • Coordinate and provide support for team meetings by facilitating physical and technical needs; take notes and coordinate follow-up as needed.
  • Serves as the first point of contact for the content management system.
  • Offer continued administrative support to the team in accepting and tracking projects in our project management tool (Workfront) according to due dates and other parameters, ensuring efficient and standard methodologies are followed.
  • Collaborate with the Marcom team and others on various projects and meetings.
  • Represent unit at meetings and serve as liaison for requests or complaints.
  • Identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
  • Identify problems and review related information to develop and evaluate options and implement solutions.
  • Develop specific goals and plans to prioritize, coordinate, and accomplish work.

Budget, Purchasing and Procurement Administration

  • Serves as the department budget liaison.
  • Provide oversight and tracking for team budget and expenses, including freelance contractors; expected to reconcile budget monthly and works with Executive Director on forecasting quarterly and annually.

Office Operations

  • Serves as office manager which includes responsibilities as a facilities liaison.
  • Manages supply and inventory.
  • Corresponds with office space vendors, including the building lease agent.
  • Onboards new vendors into procurement system.
  • Acts as subject matter expert for the team regarding the university’s financial guidelines, and acts as resource to ensure compliance for team.
  • Serves as point of contact for external partner inquiries.
  • Serve as the first point of contact for visitors to the office and all related general inquiries; creates a welcoming environment for guests, staff, volunteers, donors, etc.
  • Provides organization of processes and workflows for teams, including onboarding new team members and student workers.
  • Directs administrative details, such as department purchasing and ordering and equipment maintenance.

Administrative Support

  • Provide professional support to the Executive Director and as well as the larger Advancement Marketing and Communications team.
  • Direct support of the Executive Director will include meeting and event planning, calendar planning and coordination, creation of administrative and supportive documents, travel arrangements, expense reports, etc.
  • Support all internal team administrative operations and communications, including travel and expense arrangements and reports, Teams channel updates, IT support, etc.
  • Maintains the administrative guide and resource documents.
  • Other duties as assigned.

We anticipate this position will support a hybrid format (remote and in-person work).

What We Can Offer

  • The salary range is $45,000 - $56,544 annually.
  • Relocation assistance is available for eligible candidates.

What We Require

  • High School Diploma, GED, or equivalent required.
  • Two years of administrative experience.

What You Will Need

  • Kind and respectful with strong interpersonal skills and ability to work in an open office environment.
  • Excellent customer service skills.
  • Ability to implement accurate data entry, prepare and maintain detailed records, files, and reports on an ongoing basis.
  • Proven time management skills with ability to adapt to changing priorities.
  • Proven verbal and written communication skills and ability to work with accuracy and attention to detail.
  • Knowledge of general office procedures, protocol, and professionalism; basic knowledge of Business English, spelling, punctuation, and grammar.
  • Solid understanding of fundraising and financial concepts.
  • This position is privy to confidential information and will act with a high level of integrity.
  • Agility and flexibility are needed, as this role will need to switch gears often between multiple projects at multiple stages.
  • Proficiency in Microsoft Office Products, including Outlook, Word, Excel, PowerPoint.
