Job Summary

Wardenburg Health Services welcomes applications for a Medical Assistant. This position provides comprehensive health care, education, and customer service to include gynecological and transgender services primarily to the student population. This may include care of CU Boulder faculty, staff and their dependents, and on urgent occasions, treatment to injured or ill University visitors. The Medical Assistant provides team based support to providers, improves efficiency and productivity to the medical clinic and SRHC. This position assists the provider (Physician/APN) to aide in clinic flow, productivity, and continuity of care to patients and CU Boulder community.

The Wardenburg Medical Clinic provides a wide range of health care services for students including, but not limited to: primary care for illnesses and injuries, as well as chronic conditions, physicals, sexually transmitted infection testing and treatment, allergy shots, vaccinations, travel health care, and concussion care.

What Your Key Responsibilities Will Be

Customer Service 
  • Serve as front line staff in the clinic- determine needs, resolve problems, provide information, route to proper location, answer questions, check in patients for appointments (including attaching and distributing necessary paperwork associated with appointment when necessary), verify patient information, and initiate emergency protocols. 
  • Provide care to in-house and out-of-house customers, covering each other in our department as needed.
  • Manage patient interactions on the phone and in person. 
  • Schedule and coordinate patient appointment times in person and over the phone using Medicat software. 
  • Screen and schedule patients- determining emergencies, eligibility, appropriate medical services using established guidelines, policies, procedures, protocols, and judgment after analysis of alternatives and prioritizing situations based on the need of the patient and coordinating with the appropriate provider, length of appointment in appropriate clinic to provide continuity of care and consistency. 
  • Assist with input of templates of schedules on a semester basis using protocols for work hours, locations, providers, and time increments.
  • Call provider sick line to monitor provider availability, cancel and reschedule patients as necessary. 
  • Operate multi-line telephone console in a timely, sensitive, courteous, confidential and professional manner to schedule appointments, answer questions, take messages, make reminder calls, route calls appropriately, transfer and forward calls, and provide directory assistance for within WHS. 
  • Refer student (or parent) to ROI office to obtain ROI to speak with a provider in reference to the student's information at WHS. 
  • Assist providers to expedite flow of patients by anticipating patient needs, anticipating provider needs, and completing necessary paperwork at time of visit. 
  • Assist nurses and providers during procedures, including: Colposcopies, LEEPs, IUD insertions, Implanon insertions and removals, biopsies, lesion removals, incision and drainage of cysts, cervical polyp removals, etc. 
  • Comfort patients before, during and after procedures to assure good patient care.
  • Provide general information to patients regarding process for special procedures to be performed. 
Medical Assistance 
  • Facilitate patient flow, perform patient intake and documentation, prepare patient for provider visit, assist provider (as needed), and delegate patient follow up. 
  • Greet and direct patient flow to appropriate health care provider for GYN care, disinfect and clean rooms after patient leaves, collect lab/specimen samples and forms for transfer to lab. 
  • Procedure set up, furnish patient information or handouts, assist provider with management of ill patients, perform injections and vaccinations as delegated by provider.
  • Interview patients for medical condition(s) during intake process. 
  • Obtain appropriate intake information from Medical Health History form and patient report to update the EMR patient summary screen.
  • Data entry, word processing, etc., as assigned by unit manager. 
  • Collect statistical information, data entry, word processing, appointment and phone reports, photocopy, and other duties as assigned.

What You Should Know

Knowledge of confidentiality guidelines is imperative. Basic medical terminology required. Knowledge of HIPAA requirements. 

What We Can Offer

The anticipated starting salary is $17.50/hour if certified; $17.00/hour if not yet certified.

What We Require

  • High School diploma or GED.
  • Completion of a Medical Assistant Program from an accredited institution by date of hire and eligibility to obtain Medical Assistant registration/certification within six months of hire. 
  • BLS certificate (upon hire or can be obtained within three months of hire).
  • Basic functional computer skills (experience of Windows based systems).

What We Would Like You To Have

  • Active Medical Assistant registration or certification such as:
    • Registered Medical Assistant (RMA) and proof of current membership from American Medical Technologists (AMT)
    • Certified Medical Assistant (CMA) and proof of current membership from American Association of Medical Assistants (AAMA)
    • Certified Clinical Medical Assistant (CCMA) and proof of current membership from National Health Career Association (NHA)
    • National Certified Medical Assistant (NCMA) and proof of current membership from National Certified Competency Testing (NCCT)
  • Experience and knowledge in Medicat (EMR) Experience and knowledge in front and back office procedures.
  • Experience working in a medical clinic.
