Job Summary

The Ombuds Office at CU Boulder encourages applications for a Program Administrator! This position performs professional level work to support the office. They are responsible for budgetary, marketing, data management, intake/assessment, risk management, and outreach activities.

What Your Key Responsibilities Will Be

  • Greet people by phone and in person, gather general information and schedule them with Ombuds.
  • Assess the level of concern and use counseling/psychology skills to assist visitors to the Ombuds Office who are often in distress. Consider their mental state and decide how to best help, which ombuds to schedule them with, and when to address safety concerns.
  • Develop administrative systems to ensure effective and high quality processes. Attend meetings with office staff to discuss cases and methods.
  • As the first point of contact, this position also assists with risk management and de-escalation of issues.
Strategic Marketing: 
  • Serve as marketing manager and be responsible for crafting and disseminating communications via website, social media, email, campus calendar, campus newsletter, printed materials, and other marketing channels deemed appropriate. Position considers the campus climate, target audience (faculty, student, staff) and drafts messages to suit the intended audience. 
  • Help analyze data to identify constituent needs. 
  • Operate the Salesforce data system, pulling reports for department needs such as annual and monthly reports.
  • Assist with budgetary matters for the office including forecasting, analyzing, and making recommendations.
Campus Outreach: 
  • Attend and present information at campus events.
Professional Development: 
  • Attend courses and conferences to further knowledge of the field. For example, The International Ombuds Association’s Foundations Course.

What You Should Know

  • This position will be in-person with the potential to have some remote work during the summers. 

What We Can Offer

  • The hiring pay range is $48,000 to $60,000.

What We Require

  •  A Bachelor’s Degree or equivalent combination of education and experience may substitute.

What You Will Need

  • The Ombuds Office helps address campus-wide issues such as campus climate, racial inequity, policies with disproportionate outcomes, disability accommodations, etc. It is relevant that our Program Administrator work well with the diverse groups of people bringing these concerns to our office.
  • Excellent interpersonal skills are needed. Clear verbal communication both in person and on the phone are significant for this position. Good written communication is also significant as the Program Administrator will need to email people at all levels of the university.

What We Would Like You To Have

  • Experience working with faculty, staff, administrators, graduate and undergraduate students. 
  • Experience working with CU Boulder financial systems. 
  • Digital marketing experience.
