Job Summary
The BOLD Center is seeking applicants for the Operations Manager! This full-time university staff position is critical to the mission for the BOLD Center by providing operational oversight and administrative support to students, staff, faculty, and visitors. Working with the BOLD Director, this position manages the day-to-day operational functions of the Center, which includes, but is not limited to, oversight of front desk operations, overall BOLD Center space management and oversight, room reservations, purchasing and maintaining inventory, supporting event logistics, along with select fiscal and human resources functions. This role will oversee a team of student employees and provide administrative support to the director and others assigned.

What Your Key Responsibilities Will Be
Business Operations:
- Oversees BOLD Center space management, ensuring all BOLD spaces and storage are kept clean, organized, and welcoming. Responsible for functional and decorative signage and wayfinding in the BOLD Center.
- Assesses current space needs and makes recommendations to the BOLD Center Director on ways to improve space usage. Implements approved space changes.
- Manages the front desk and serves as first point of contact for students, parents, faculty, staff, and visitors, and resolves issues that student employees cannot settle. Staffs the front desk during regular business hours when student employees are not available.
- Reserves event space and coordinates catering for events.
- Develops and maintains operational procedures such as front desk, scheduling, supply ordering, and other administrative functions. Creates and updates training materials for front desk procedures.
- Analyzes internal processes, researches possible solutions, and recommends and implements procedural or policy changes to improve operations.
- Serves as parking, key/access, phone, facilities, and technology liaison.
- Manages maintenance of office equipment, office furniture, IT infrastructure, etc.
- Advises employees and students on mail services, including shipping and receiving packages, and interdepartmental mail. Manages BOLD’s mail distribution.
- Manages BOLD Center email accounts, calendars, employee contact lists, and room reservations.
- Oversees organization and maintenance of digital files on BOLD’s shared drive and SharePoint.
- Showcases BOLD Center space and services to prospective student visits/tours when needed, following protocols/procedures set by the BOLD Center Director.
- Performs additional duties as assigned by the BOLD Center Director, including supporting priority action items and special projects.
Student Employee Supervision:
- In collaboration with the HR Service Center and CEAS HR team, ensures that all student payroll, hiring, and terminations are processed accurately.
- Communicates campus student employment and CEAS HR policies and procedures to BOLD staff related to creating student job postings, conducting interviews, hiring, onboarding, and training of new student employees.
- Supports supervisors in approving purchasing and travel expense reports for their student employees.
- Recruits, hires, trains, and schedules student employees. Manages a team of student employees who assist with administrative responsibilities, maintenance of common areas, and front desk operations.
- Ensures that student employees can showcase BOLD Center space and services to prospective student visits/tours when needed, following protocols/procedures set by the BOLD Center Director.
- Identifies the developmental needs of student employees and coaches them to help improve their knowledge and skills.
- Approves timesheets and time-off requests for student employees.
- Collects student staff availability each semester to design and implement the front desk staffing schedule.
BOLD Financial Management:
- Administers and manages budget and expense tracking functions for BOLD, including running financial reports in CU-DATA system and regular reporting to BOLD Leadership.
- Ensures appropriate allocation of expenses and transactions.
- Ensures the BOLD student society members and student employees are following all fiscal policies and procedures, including travel expenses and procurement card charges, including Center for Student Involvement (CSI) protocols.
- Provides training and support for appropriate purchasing and travel card usage and expense reporting for BOLD student employees and student societies.
- Attends regular campus and college fiscal trainings and meetings to know the latest policies and procedures.
- Uses CEAS Financial Services Center (FSC) forms and processes to purchase supplies, equipment, and furniture for BOLD.
- Requests the set-up of new cardholder accounts and has responsibility for keeping cardholder records accurate for new and departing student employees.
- Communicates procurement deadlines, provides reminders, and follows-up with BOLD employees as needed.
Program & Project Management:
- Researches and identifies high-impact practices for STEM student success and the cadence of academic services offerings.
- Supports learning outcomes and program assessment efforts central to academic services.
- Oversees the scheduling and space management for BOLD programming.
- Assists in promoting BOLD services, programs and resources.
- Manages the attendance database by creating events, running participation reports, and identifying engagement themes.
- Supports cultivation of academic partnerships and collaborations on academic programming with other academic units in CEAS.
- Manages operational calendar in collaboration with the leadership team.
Other:
- Supports new BOLD staff setup and onboarding, in collaboration with the supervisor.
- Works closely with CEAS Human Resources and Communications teams to ensure all internal and external directories and organizational charts are current.
- Stays apprised and current on relevant University and State of Colorado policies and procedures.
- Participates in professional development activities and serves on unit, college, or campus committees as applicable.
- Undertakes other duties and responsibilities as assigned.

What We Can Offer
The starting salary range for this opening is $60,000 - $67,500. Relocation assistance is available within department guidelines.

What We Require
- Bachelor’s degree and three year of professional administrative and/or operational support experience in higher education.
- An equivalent combination of education and experience may substitute.
- Able to work 100% time in-person and on-campus.

What We Would Like You to Have
- Experience with technologies such as Zoom, Teams, SharePoint, Canvas, Concur, PeopleSoft, and Qualtrics.
- Experience working with STEM (Science, Technology, Engineering, and Math) students in a higher education setting.
- A least one year of experience hiring, training, and supervising student employees.
- Some event/program planning experience.
- Budget and fiscal management experience.
