Job Summary

The Office of Institutional Equity and Compliance (OIEC) encourages applications for the Part-Time Compliance Coordinator and Office Assistant!

This position will report to the Executive Assistant/Office Manager of the OIEC to perform administrative tasks and special projects as requested and provide support services to Office Manager, OIEC VC and AVC's.

The Compliance Coordinator and Office Assistant will represent the office to internal and external constituents in professional, time-sensitive, and confidential manner and to assist with the mission of the OIEC to prevent and respond to incidents of sexual misconduct, protected class discrimination and harassment.

This position will act independently, exercise sound judgment, and communicate effectively, orally and in writing, with the Vice Chancellor, OIEC staff, parties involved with the OIEC process, or any other on and off campus constituents to maintain positive relationships.

The Compliance Coordinator and Office Assistant will also assist in the operational management of an innovative office, which requires excellent organizational skills, knowledge of University administrative policies and procedures, effective analytical and problem solving skills, ability to work well under pressure, management of complex and concurrent tasks, and maintenance and protection of confidential information and documents.

What Your Key Responsibilities Will Be

Administrative and Support Responsibilities
  • Assist Office Manager/Exec Assistant to the VC and provide cover when Office Manager is not available.
  • Facilitate equipment and supply purchases.
  • Maintain office supplies and equipment.
  • Scheduling rooms and calendaring for OIEC VC and OIEC staff.
  • Assist OIEC AVC's in respective units with assigned tasks on “as needed basis” including facilitating file reviews, notifications, and transcriptions (investigative); modifications to student records, notices of interim measures and/or sanctions and maintain/input digital records (safety and support) and online and in-person educational training compliance (education/prevention).
  • Assist with travel and event coordination.
  • Answer OIEC, and Executive Director phone lines and provides appropriate referrals.
  • Provide excellent customer service as office receptionist for visitors and security door monitor.
Special Projects
Recent examples include or may soon include:
  • Manage mandatory training compliance through related tracking systems and processes for students, employees, and affiliates.
  • Manage training completion uploads in HCM for graduate students and employees.
  • Manage quarterly employee non-compliance reports and distribute reports to departments.
  • Manage student course registration holds for first- and second-year students who are required to complete training in Canvas.
  • Triage requests and inquiries that come in through the OIEC training email account.
  • Digitizing paper files and document management.
  • Reviewing local and national standard processes and trends with respect to equity office policies, procedures, practices and assist with development of same.
  • Assistance with applicable CORA, litigation or media responses.
  • Campus committee participation and documentation.

What You Should Know

This is a 50% part-time position.

What We Can Offer

Starting salary range is $25,000 - $30,000.

What We Require

Three years of administrative or clerical experience. Substitution: College course work may substitute for the experience on a year-for-year basis.

What You Will Need

  • Advanced skills in Microsoft Office (Word, Excel, PowerPoint and Outlook email and calendaring).
  • Excellent organizational, time management skills and communication skills.
  • Ability to respond to and assist diverse communities and identities in university setting.

What We Would Like You to Have

  • Experience in university or general education professional environment.
  • Experience using Salesforce.
  • Experience with data analysis.
  • Bachelor's degree.
