Job Summary
The Institute of Cognitive Science (ICS) seeks to fill a Payroll & Finance Assistant (Accounting Technician II) position! This position will support the ICS Finance and Payroll Team including an Institute finance and payroll manager (finance team lead), grant managers, a payroll and finance assistant (this role), a data entry specialist, and internal audit and compliance check staff to provide comprehensive support to our researchers while ensuring we are operating at a high level of audit-proof and compliant research administration.
We are a fast-paced and dynamic team that is in close communication with each other to ensure the highest level of customer service and support for our researchers and staff. This role is supported by others in the Finance Team and works in collaboration with the grant managers to ensure that payroll and finance transactions are completed seamlessly. It is expected that this position is invested in being part of a highly collaborative team and is actively contributing to the team in a positive and engaged way.

What Your Key Responsibilities Will Be
Support Payroll Accounting Functions
- Perform payroll assistant duties including HCM review for all employee groups; updating the funding distribution for all employees as advised by the accountant; time collection in HCM; timesheet and leave management; personnel file management; generating, reviewing and identifying problems on payroll registers and other payroll reports; payroll expense transfers; and informing/advising new employees of payroll and benefits issues affecting them.
- Update internal spreadsheets with payroll information and maintain manual procedural training documents.
Fund Accounting Support
- Support Finance Manager (supervisor) to ensure that financial transactions are accurately coded to the correct FOPPS.
- Prepare monthly detailed financial transaction reports with attached documentation for accountant review; create ad-hoc spreadsheets; perform detective work on questionable transactions; prepare supporting documentation for journal entries as well as journal entry completion; ensure grant managers provide thorough transaction information and business purpose justifications; prepare financial documents; assist with the management of financial filing system as well as special projects.
Grant Financial Support
- Provide ongoing grant financial management support including updating project-related spreadsheets; assisting with project onboarding and close-out duties and requirements; assisting with any internal or external audit requests and special projects.
- Serve as backup to Accountant (supervisor) with approvals, light financial advising and report generation and interpretation.
Project Support
- Support special projects as assigned by the Finance Manager (supervisor) including participating in training in the best business practices, Institute, University and State regulations and all systems needed to be successful.

- The position is a hybrid or fully remote work. Because this is a classified position, Colorado residency is required regardless of work modality.
What We Can Offer
The hiring range for this position is $43,100-$52,000 annually based on experience and internal equity. If you have prior state-classified experience in the same class series as this position, your pay may be set at a higher amount per the state Step Pay Program implemented on July 1, 2024.

What We Require
- Current Colorado residency.
- Two years of experience in an occupational field related to the work assigned to the position, or a combination of related education and/or relevant experience in an occupation related to the work assigned equal to two years.
What You Will Need
- Digital literacy and a solid understanding of standard computer desktop applications (primarily Microsoft Office and Adobe).
- Attention to detail.
- Able to prioritize work as needed to meet cyclical monthly timelines.

- Ability to complete tasks thoroughly and consistently after procedures are learned.

What We Would Like You to Have
- Experience with systems used for travel, purchasing, reporting, and HR.
- Intermediate experience with Microsoft Office Excel, including creating new formatting and formulas in addition to basic data entry.
