Job Summary

The Police Records Technician supports the mission of the CUPD through provision and retention of law enforcement reports and other related documents collected during the course of business by CUPD.

The CUPD is a full-service police agency with 46 sworn and 36 non-sworn employees providing community-based public safety services to a diverse community of 36,000 affiliates 24 hours a day, seven days a week, all year long. Every year the department responds to approximately 20,000 calls for service and ensures the safety and security for all of their PAC-12 Conference athletic events with attendance at football games exceeding 50,000 fans. Patrolling the campus by foot, bicycle, motorcycle, and vehicle, the CU-Boulder police work diligently with the University community and surrounding agencies to ensure a prompt and coordinated law enforcement response.

What Your Key Responsibilities Will Be

Summons and Citation Processing 
  • Processes criminal summonses and traffic citations, including: quality assurance reviews, entry and scanning of summonses and citations into departmental RMS, and correctly disseminating to appropriate campus or external entities.     
Records Dissemination 
  • Organize and distribute reports to appropriate departments or agencies in compliance with the Colorado Open Records Act (CORA), Colorado Criminal Justice Records Act (CCJRA), Family Educational Rights Privacy Act (FERPA), and internal CUPD policies and procedures.  If needed, contact pertinent personnel to explain and or correct errors and provide specific steps to obtain or generate the necessary documents.  
Report Processing and NIBRS Coding 
  • Audit daily police incident reports for accuracy and proper coding in the department's records management system (RMS). 
  • Enter law enforcement records accurately into the NIBRS database via the Colorado Bureau of Investigations (CBI) and the Colorado Crime Information Center (CCIC) computer system. 
Clery Act Compliance 
  • Regular submission and publication of the criminal activity investigated by CUPD as required by the federal Clery Act.   
Fingerprinting 
  • Takes fingerprints for employees within the department and other outside agencies and takes the fingerprints of citizens requesting such for regulatory or licensing requirements.   
Other Duties 
  • May be required to work in other areas or divisions of the Department as needed, (i.e. Events, Incident Command Support (ICS), etc.) as changes in schedule and or duties may vary due to operational needs or unforeseen circumstances. 

What You Should Know

  • This position requires a valid Colorado driver license.
  • The work hours for this position are generally Monday - Friday, 8:00am - 5:00pm. However, this position may be required to work extra-duty hours for special events including, but not limited to, home football games, concerts, or other emergency needs that may arise.

What We Require

  • Must be a Colorado resident
  • Two years of full-time equivalent experience providing technical or administrative work with responsibility for confidential materials for a law enforcement agency, medical, financial, or law firm
  • Must possess a valid Colorado driver’s license and pass a pre-placement background check including, but not limited to a criminal, motor vehicle, and financial background check including a polygraph and psychological examination
  • Ability to become CCIC/NCIC certified, ability to obtain Colorado Certified Records Network (CCRN) certification within two years from date of hire

  • Knowledge of Colorado Open Records Act (CORA) and Colorado Criminal Justice Records Act (CCJRA) laws 
  • Knowledge of the Clery Act

What We Would Like You To Have

  • Previous experience with law enforcement records
  • Previous experience with NIBRS coding
