Job Summary
The Professional Assistant reports to the AVC for Events, Protocol and Outreach in the Office of the Chancellor and is responsible for professional support for the AVC, supervision of student assistants, and assistance with the coordination and execution of high-level campus events and outreach initiatives. The ability to professionally represent the Office of the Chancellor and the campus at all times is essential. A dedication to advancing Diversity, Equity and Inclusion (DEI) is vital.

What Your Key Responsibilities Will Be
AVC Support:
- Coordinate and maintain complex calendars. This includes coordinating leadership-level meetings for multiple employees, managing conflicting scheduling priorities, and preparing all materials, including agendas, bios, PowerPoints, etc.
- Support AVC with both verbal and written correspondence. Maintain follow-up and filing system.
- Work with business services to coordinate travel arrangements and prepare reimbursements and expense reports.
- Coordinate actions, questions, and decisions between AVC and internal/external partners; make independent decisions when needed.
- Anticipate executive support needs, take initiative to identify effective solutions and carry out resolutions to the highest standards.
Student Supervision:
- Hire, train and supervise students for the Office of the Chancellor.
- Create schedules and approve time-cards.
- Develop and be responsible for student training and evaluations.
- Supervise the development of student DEI competencies and training opportunities.
Office Support:
- Maintain event calendars.
- Maintain several email mailboxes, ensuring timely response and follow-up, responding to general inquiries, referring where appropriate, and resolving concerns and complaints.
- Order and manage office and event supplies and gift inventory, and work with procurement to follow university practices and rules.
- Maintain copy room and common spaces.
- In cooperation with Office of the Chancellor's finance staff, oversee office budget planning and tracking.
- Ensure office compliance with university practices including EMF, CUUF, etc.
- Prepare for all office events including packing, material preparation and follow-up.
- Provide support to event managers with logistics, execution and staffing of events, including nights and weekends.
Projects:
- Assist with special initiatives and projects, such as coordination of office moves, conferences and events, compiling data to meet campus or system requests, and organizational restructures.
- Support office by managing occasional pop-up events.
What You Should Know
- The work modality for this position is primarily on-site. Nights and weekends are required a few times per month.
What We Can Offer
- The hiring range for this position is $50,000 - $62,500 annually.

What We Require
- Bachelor's Degree and two years of relevant professional experience.
- An equivalent combination of education and experience may substitute.
