Job Summary

The College of Engineering and Applied Science (CEAS) HR Team encourages applications for a Professional Assistant! The CEAS HR team provides operational support and guidance to all CEAS departments and programs and is responsible for ensuring the overall operational effectiveness and efficiency of the college’s HR processes. The Professional Assistant will serve as administrative support within the CEAS HR team, with a primary focus on supporting employee engagement, trainings, and events. This role will facilitate the numerous recognition programs within CEAS, and will play a key role for the development and execution of events and trainings. The Professional Assistant will provide administrative support to the Assistant Dean of Human Resources and the HR Manager, and will work closely with the CEAS HR Coordinator on record keeping, official correspondence, and special projects for the CEAS HR Office.

What Your Key Responsibilities Will Be

Administrative Support:

  • Provides administrative support for the Assistant Dean of Human Resources and the CEAS HR Manager including but not limited to managing schedules, creating resources for meetings, and managing communications.
  • Supports the HR Coordinator in maintaining and responding to the CEAS HR Shared inbox.
  • Acts as the back-up for the HR Coordinator when necessary.
  • Collaborates with the HR Coordinator on the filing of all CEAS HR related documents and provide support in clearing employee file backlogs.
  • Maintains CEAS HR specific spreadsheets and documents.
  • Assists with pulling quarterly training compliance audits, and maintain training compliance records and spreadsheets.
  • Assists with the creation of the CEAS HR newsletter, collaborating with the HR team and other departments to gather relevant content, including employee recognition, anniversaries, and training updates.
  • Coordinates orders of merchandise with vendors and manages payments.
  • Organizes and maintain the CEAS HR storage closet and supply inventory.

Anniversaries, Employee Recognition, and Staff Incentive Awards Support:

  • Manages the sending of anniversary emails to employees and supervisors.
  • Coordinates monthly submissions for Commitment to Excellence Awards (C2EA), Staff Incentive Awards (SIA), Employee Recognition Awards (ERA), and other CEAS recognition awards.
  • Updates the awards tracker and confirms approvals for all nominees.
  • Coordinates with Finance on the processing of award submissions.
  • Manages communications with employees and supervisors, and ensures timely delivery of awards.
  • Handles award logistics, including ordering C2EA awards, picking up ERA plaques, and preparing certificates.
  • Ensures award announcements are in monthly HR newsletters.

Meeting and Event Management:

  • Collaborates on the development of CEAS trainings, meetings, and events.
  • Provides administrative support for trainings including setting up and sending Zoom links, preparing resources, and taking notes.
  • Provides administrative support for Learning & Development training opportunities within CEAS.
  • Coordinates catering orders.
  • Promotes events via email, print materials, the web, and various events calendars.
  • Manages logistics and reimbursement/payment associated with CEAS HR events, trainings, and meetings.
  • Schedules and manages meeting invitations, Zoom reservations, room reservations, A/V logistics and catering, as appropriate.
  • Uses EMS system to reserve spaces as needed.
  • Plans agendas and takes meeting notes.
  • Edits and reviews meeting materials, as appropriate.

Other Duties:

  • Undertakes additional responsibilities as assigned.
  • Participates in professional development and serves on college or campus committees as applicable.
  • Recommends and implements process improvements to enhance department efficiency.
  • Documents procedures and processes, ensuring they are accessible to the team.

What You Should Know

This position is eligible for a hybrid work modality, consistent with the College of Engineering and Applied Science Hybrid Work Policy. A typical schedule is Monday - Friday, 8am - 5pm, with a minimum of 2 days a week working on-campus.

What We Can Offer

Starting salary range is $52,000 - $57,000 annually. Relocation assistance is available within department guidelines.

What We Require

  • Bachelor’s degree or equivalent combination of education and related experience may substitute.

What You Will Need

  • Ability to effectively communicate verbally and in writing, informally and formally.
  • Ability to handle multiple tasks at once, and balance interruptions.
  • Strong attention to detail and accuracy.
  • Critical thinking and problem solving skills.
  • Proficient in Microsoft applications, including PowerPoint.
  • Technical proficiency with computer programs, webcams, and other conferencing equipment.
  • Sensitivity to and appreciation of cultural, political, and geographical differences, with ability to work well with faculty and staff from around the world.

What We Would Like You to Have

  • Experience facilitating events for large groups.
  • Background within the performing arts or similar public-facing industry.
  • Experience with employee appreciation programs.
  • Demonstrated editing skills to produce clear, complete, yet concise communication.
