Job Summary

Advancement at CU Boulder encourages applications for a Program Manager, Advancement Executive Briefings and Events! This role is responsible for developing and delivering high-quality briefings for executive leadership, including the Vice Chancellor for Advancement, the Office of the Chancellor, and the Office of the President. The Program Manager is vital to effectively communicate insights and recommendations to executive leadership. In addition, this position helps plan and complete division-wide internal events for the Advancement team. This role may also manage and/or delegate assignments to student workers as appropriate.

What Your Key Responsibilities Will Be

Programmatic Oversight of Executive Briefings
  • Ensures quality Advancement-led engagements by managing the executive briefing process for CU Boulder Advancement. This includes identifying, deploying, and refining processes, templates, and timelines; creating a training program and training participants; and ensuring adherence to the briefing process. Proposes enhancements as leadership evolves or needs change. 
  • Manages the Leadership Scheduling Request (LSR) process, including the online request portal and internal routing of submissions. Once an LSR is submitted, the Program Manager coordinates preparation and organization of briefing materials and talking points for donor-facing meetings and events involving campus leadership. This involves scheduling, gathering materials, proofreading, and assembling comprehensive briefing packets to ensure Advancement leaders are adequately prepared. Communicates timelines to those involved in the briefing process to ensure timely delivery of quality briefing packets, allowing leadership ample preparation time. Assists in coordinating post-meeting follow-up activities. 
  • Prepares reports and spreadsheets from the donor database per leadership request to help ensure they have the knowledge needed to make informed decisions. Also enters contact reports, and submits proposals as requested. Follows guidelines for records management and requests updates to donor data as needed. Works with student workers to assist with these tasks. 
Division-Wide Meetings and Events
  • Assists in scheduling and preparing for internal and external meetings and events. This includes large in-person functions for the Advancement division, virtual division-wide meetings, Advancement Leadership Team internal and offsite meetings, and more. 
  • Schedules and manages meeting invitations, Zoom reservations, room reservations, logistics and catering, as appropriate; ultimately responsible for meeting and event execution and logistics. 
  • Makes recommendations for event efficiencies, redundancies and potential event collaboration. 
Other Administrative Support for the Office of the Vice Chancellor 
  • Provides backup support for the Executive Assistant in supporting the Vice Chancellor for Advancement during times when the Executive Assistant is away on planned time off, assisting the Vice Chancellor for Advancement with day-to-day scheduling and support needs. 
  • Works closely with student workers, guiding them on how to do tasks in the Vice Chancellor’s office to support the Leadership Team and other team members. These tasks include entering contact reports, pulling data from databases, creating and formatting briefing documents, etc. 

What You Should Know

  • This position may occasionally require local, regional, and out-of-state travel.
  • This position has the ability to work a hybrid schedule with some days on campus and some days remote.
  • This position will occasionally be required to work evenings/weekends.

What We Can Offer

The salary range for this position is $63,000 - $73,000 annually. Relocation assistance may be available within Advancement guidelines.

What We Require

  • Bachelor’s degree or equivalent experience or combination of education and experience may substitute. 
  • 1+ years of professional, job-related experience.

  • Knowledge of fundraising, donor relations, and alumni relations standard processes. 
  • Strong communication skills including the ability to participate in public events and represent Advancement and the university in a professional manner.

  • Ability to exercise a high degree of tact, discretion, and collaboration in working with a diverse range of constituents including employees, students, volunteers, alumni, donors, and campus colleagues. 
  • Ability to organize and manage multiple projects/tasks simultaneously; ability to work independently and on a team and adapt to changing priorities. 
  • Knowledge of current issues facing public universities and interests of assigned school, students, faculty, and alumni. 
  • Strong attention to detail and to visual appeal of presentation materials.
