Job Summary

Advancement at CU Boulder encourages applications for a Program Manager for Alumni Events! This role is primarily responsible for developing, leading, completing and managing events to engage students and alumni with the College of Engineering and Applied Science. Events will consist of key signature events that occur on an annual basis along with ongoing unique events to accomplish strategic objectives. A major priority for this position is establishing relationships with key partners throughout the college, University and with alumni for the successful execution of each event. The program manager is a member of the college's alumni engagement team within the advancement division.

What Your Key Responsibilities Will Be

Strategic Programmatic Oversight/Task Execution/Tactical Work 
Alumni & Student Engagement Events 
  • Develops and drives annual plan for alumni and student engagement events with a focus on creating a culture of lifelong engagement.
  • Plan and organize all details related to annual events the college's signature events such as the Distinguished Engineering Alumni Awards banquet, Homecoming, and new events/traditions that are developed.
  • Plan, manage and complete all logistics for local and regional events for the Office of Alumni Engagement each fiscal year by involving relevant constituents such as college leadership, faculty and staff members, Alumni Association, and/or alumni.
  • Create, implement and refine an event planning guide establishing the necessary steps for planning an event from start to finish (defining event goals and focus, finding and securing venue, inviting key constituents, developing the marking and promotional plan, finalizing event details, performing event, and completing post event evaluation and follow-up).
  • In collaboration with the college's Marketing and Communication steam, coordinate messaging and communications to internal and external audiences for all alumni engagement events via a variety of media including: email, newsletters, website, social media (Facebook, Twitter, LinkedIn, and Instagram), event invitations, surveys, brochures, postcards, and other outlets as needed.
  • Collaborate with the University and college to establish the alumni office’s presence at existing events and programs geared toward students and invite alumni to participate when relevant.
  • Identify and establish new events and opportunities to engage with students with the goal of developing a culture of lifelong engagement.
  • Assist with engagement efforts related to events for student organizations that provide opportunities for them to connect with their alumni.
  • Assess the impact of events by supervising registrations, attendance, and soliciting feedback from events to advise future decisions.
  • Use the Advance (alumni) database and other relevant systems to input alumni activity, contact reports and pull reports to track progress throughout the year.
  • Propose and manage budgets for individual alumni and student events.
  • Perform external visits with prospective event volunteers, speakers, and invitees.
  • Perform online research, benchmarking activities and be actively involved in at least one professional association to support the development and continuous improvement of the alumni engagement office.
Alumni Office and Advancement Support 
  • Work to support the greater alumni and advancement teams to implement strategic priorities and achieve goals.
  • Manage student worker assigned to the Alumni Engagement team.
  • Generate and refer alumni story ideas for print and electronic communications for the college.
  • Work with alumni engagement staff to assist with overall alumni engagement activities and take ownership over certain initiatives when the need and skills align.
  • Actively participate and support college advancement events and initiatives as necessary.
  • Serve as event planning liaison for all Advancement and CEAS events not directly under management.
  • Undertake other duties and responsibilities as assigned by the Director of Alumni Engagement.

What You Should Know

  • This position may require local, regional, and out-of-state travel to engage with university constituents.
  • This position has the ability to work a hybrid schedule with some days on campus and some days remote.
  • This position will occasionally be required to work evenings/weekends.

What We Can Offer

The salary range is $63,000-$73,000 annually. Relocation assistance may be available within Advancement guidelines.

What We Require

  • Education: Bachelor’s degree or equivalent combination of education and experience.
  • Experience: 1+ years experience in areas such as program and event management.

What We Would Like You to Have

  • Experience in higher education alumni engagement, communications, volunteer recruitment, event planning, program management, and/or related areas, with proven track record of success.
  • Experience using event marketing and management tools such as Salesforce, Marketing Cloud and Cvent.
  • Experience planning large and small scale events with overlapping timelines.
  • Software Used: Microsoft Office products, database management and data manipulation, Salesforce, Zoom, Teams, Academic Impressions, Trello, LinkedIn, Marketing Cloud, Marketplace, Google docs/sheets, Cvent (or other RSVP system), Graduway, Qualtrics, Workfront, Canva, LinkedIn, DocuSign.
