Job Summary

This position provides sole support to the Creative Minds RAP, which has a Director, rostered faculty and 405 students in residence. The position manages the Creative Minds RAP program in numerous ways including interacting with students, faculty, and university staff. The position acts as informal student advisor, curriculum coordinator, and information/data manager.

The mission of the Creative Minds Residential Academic Program (RAP) is to cultivate creative minds who become innovative leaders and active and engaged citizens. Students enrolled in the Creative Minds RAP can enroll in classes that satisfy the College of Arts & Sciences General Education or major requirements and are taught by dynamic faculty who specialize in the first-year experience. We build community through small classes, engaged faculty, and a range of inclusive, co-curricular activities.

In coordination with the Director, the Financial Service Center and the College of Arts and Sciences Budget Office, the Program Manager supervises all fiscal dimensions, including developing and implementing the yearly budget, serving as the human resources and payroll liaison, and hiring and supervising student hourly workers. The position also acts as general departmental liaison with all university offices regarding issues such as equipment, parking, curriculum, administration of Faculty Course Questionnaires, student grades, and IT systems. In addition, this position supports the Director, who organizes, oversees, and coordinates all new student welcome activities and co-curricular events.

What Your Key Responsibilities Will Be

Program Manager

  • Represents the Creative Minds RAP and makes decisions regarding the program in the absence of the Director.
  • Acts as the primary contact person for all students, faculty, housing staff and public in the office, on the phone, and via email and the web.
  • Corresponds with other campus departments via phone, mail, and email.
  • Designs, develops, integrates and maintains information databases in order to provide statistical reports using all the Microsoft Suite Programs, Adobe Pro, CU Financial Programs, Campus Solutions, and other software necessary to accomplish tasks. Is proactive in learning new policies, and attending training.
  • Organizes office, including files, manuals, mail, and phone messages.
  • Assists students with their transition into university life, providing guidance concerning university procedures, help with personal issues, and referrals for all their needs.
  • Plays an essential liaison role between students and the campus in general. Position also acts as a departmental liaison with regards to many offices on campus. These include:
    • Parking Services (help faculty acquire parking permits).
    • CU Bookstore (ensure textbooks for RAP classes are ordered in a timely fashion).
    • OIT (ensure that computers, peripherals, and telephones are working properly and arranges for repairs when necessary).
    • Office of Planning, Budget and Analysis (ensure that correct Faculty Course Questionnaires forms are requested and returned in a timely manner).
    • Registrar’s Office and A&S Academic Advising and Coaching (help faculty and students with change of record and petition forms).

Student Registration Coordinator

  • Provides oversight for orientation and registration processes, ensuring that all individuals are notified of pertinent information and the guidelines to be followed.
  • Develops and implements efficient procedures for registration of RAP students into their RAP courses.
  • Determines the most effective process for advertising and registering students into the RAP.
  • Hires and directs student assistants in the registration process.
  • Determines enrollment limits for courses in order to accommodate incoming first-years.
  • Registers and maintains student schedules in Campus Solutions throughout their entire first year.

Accounting Liaison

  • Manages financial functions for the RAP.
  • Develops and implements the RAP budget for the academic year, using financial information provided by the A&S Dean’s Office.
  • Because the RAP retains primary fiscal responsibility for both restricted and unrestricted funds, these duties include keeping track of funds in all the program’s speedtypes and working closely with the Financial Service Center (FSC) and the Procurement Services Center (PSC).
  • Audits all the financial reports and payroll rosters each month. Orders all furniture, supplies, and equipment.
  • Chooses proper equipment by researching options on the web, visiting retailers, talking to Buying and Contracting agents, and shopping online and in catalogs and on CU MarketPlace.
  • Authorizes approval for purchase of items.
  • Creates and approves journal entries for other campus purchases and services. Fiscally responsible for using the tax-exempt Procurement Card for program purchases.

Curriculum Coordinator

  • Makes recommendations on curriculum to the RAP Director based on enrollment histories, student demand, and the requirements of the College of Arts and Sciences.
  • Coordinates with academic departments to reserve spaces in labs and courses (that facilitate the RAP mission) taught outside of the residential building.
  • Contacts all faculty to determine available days/times, coordinates scheduling of instructors and rooms, and builds the schedule in Campus Solutions in a timely manner to minimize use of Course Term Update Forms (CTUFs).
  • Coordinates and helps plan co-curricular activities.

Supervisor of Student Hourly Employees

  • Hires, oversees, trains, and mentors student hourly workers.
  • Instructs student employees on job responsibilities, monitors their work, and ensures that all components of the activities they will participate in, including field trips, are planned and in place.
  • Determines that all activities are safe and that students are prepared. Makes sure student workers participating in strenuous activities have signed liability waivers.

Human Resources/Payroll Liaison

  • Ensures that hiring paperwork is complete and correct for new hires and continuing faculty (including l-9s and W-4s).
  • Is responsible for the payroll and records maintenance, and writes letters of offer for all faculty and lecturers.
  • Completes all necessary paperwork to pay guest speakers’ honoraria, including scope of work paperwork for any outside vendors.

What You Should Know

This position will be expected to work in person. Regular schedule Monday through Friday. Presence will be required for occasional events on evenings and weekends that can be redeemed for time off during regular work hours.

What We Require

  • Five years of experience in an occupational field related to the work assigned. 
    • Appropriate education can substitute for the required experience on a year-for-year basis.
