Job Summary

The College of Engineering and Applied Science (CEAS) at CU Boulder encourages applications for The Program Operations Specialist, Lattice Scholars Program position! This role is responsible for supporting the planning and implementation of the Lattice First Generation Scholarship program. This work includes providing proactive and responsive outreach and one-on-one support to Lattice scholars while also helping to plan and implement program initiatives for scholars' academic, personal, and professional well-being, success, and growth. This position works closely with and under the guidance of the Lattice Scholars Program Manager and the CEAS Enrollment Management and Scholarships & College Affordability Team. This role is a key contributor to the implementation, tracking, and improvement of scholar support activities and program initiatives that support the persistence, retention, and graduation of Lattice Scholars.

What Your Key Responsibilities Will Be

Program Administration:

  • Coordinate with the Scholarships and Enrollment Management team to deliver communication and guidance to incoming first-year lattice scholars.
  • Manage and track communication with current Lattice Scholars.
  • Assist in the documentation of program standard operating procedures and practices.
  • Maintain Lattice Scholar rosters and lists and track students’ progress, completion of Lattice requirements, and overall academic progress.
  • Support program evaluation and improvement efforts by assisting with the development and implementation of data collection strategies, data review and analysis, and reporting and documentation efforts in collaboration with the Program Manager and Faculty Director.
  • Develop and maintain partnerships with college and university teams and offices that directly and indirectly support the Lattice Program's efforts. Such partners include the Student Success and Academic Services team (Academic Advisors and Coaches), the Director of Data Analytics, Pro-Ready, the Office of Financial Aid, the Center for Inclusion and Social Change, and others.
  • Manage the purchasing of materials and supplies and expense tracking for Lattice.

Programming and Event Support:

  • Assist in the planning, preparation, and implementation of Lattice programs and events, such as fall and spring community-building retreats and workshops.
  • Coordinate event logistics and procurement of food and supplies.
  • Manage the logistics of space use and reservations related to program activities, events, and meetings.
  • Communicate and meet with students one-on-one to provide support related to academic resources, financial aid, scholarship awards, and other topics.

Student Employee Support and Development:

  • Support a high-quality and developmental experience for student employee roles within Lattice (i.e. peer mentors, student assistants), including:
    • Assist in Lattice’s thoughtful hiring and selection processes in an equitable, consistent, and transparent manner.
    • Assist in facilitating annual training for student employees on mentoring and programming skills and frameworks.
  • Develop materials and implement opportunities for ongoing learning and development of student employees.
  • Provide developmental, supportive, and accountable support to student employees.
  • Contribute to a team and work environment where the growth and wellness of student employees are prioritized.

CEAS Scholarship Administration:

  • As needed, work with the CEAS Scholarships Program manager to support annual CEAS scholarship awarding in alignment with CEAS priorities and strategic vision.
  • Complete and maintain Scholarship Administrator Training for use of Blackbaud Award Management (BAM) system.
  • Assist in awarding and tracking Engineering scholarship awards.

Other Duties and Responsibilities as Assigned:

  • Stays apprised and current on relevant University and State of Colorado policies and procedures.
  • Participates in professional development activities and serves on unit, college or campus committees as applicable.

What You Should Know

Standard business hours, with occasional seasonal weekend work required, such as student training events and retreats. This position may be eligible for a hybrid work modality, consistent with the College of Engineering and Applied Science Hybrid Work Policy.

What We Can Offer

The annual salary for this full-time position is $55,000 - $60,000. Relocation assistance is available within department guidelines.

What We Require

  • Bachelors Degree +1 year of experience in program administration, student services, or related roles in an educational, non-profit, or similar setting.
  • Previous experience supporting first-generation students and/or students from low-income backgrounds in an educational, non-profit, or similar setting.

What You Will Need

  • Exceptionally strong written and oral communication skills, and strong presentation skills.
  • Experience establishing and maintaining effective relationships with varied constituencies.
  • Data analysis experience, including data manipulation and reporting.
  • Excellent collaboration, communication, interpersonal, and organizational skills.
  • Ability to work independently as well as on a team.
  • Experience using Microsoft Office applications, including Word, Excel, and PowerPoint (expert level for Excel and Word).

What We Would Like You to Have

  • Demonstrated ability to manage multiple projects and deadlines with strong organizational skills.
  • Experience coordinating large-scale events, including logistics, budgeting, and communication.
  • Knowledge of data collection, evaluation, and reporting strategies to support program improvement.
  • Ability to develop and maintain partnerships with internal and external collaborators.
  • Strong written and verbal communication skills, with experience in facilitating communication across different groups.
