Job Summary

The University of Colorado Boulder is searching for a Administrative and Research Temporary Staff! This position will be responsible for accounting and finance administration, contract and grant assistance, procurement, and expense reimbursement. This is a crucial role for the operating success of the entire department.

Who We Are

CU Boulder's Ann and H.J. Smead Department of Aerospace Engineering Sciences is nationally known for teaching and research that address both challenges and opportunities facing the aerospace profession. Students work extensively on hands-on experiments in the Integrated Teaching and Learning Laboratory and design projects alongside expert faculty in the department's world-class research centers. CU aerospace alumni are working at top companies and research labs, including the Jet Propulsion Laboratory, Johnson Space Center, The Boeing Company, and Lockheed Martin.

We are home to 42-tenure track, research, and instructional faculty, over 200 graduate students and 400 undergraduates. Our vibrant community of engineers and scientists tackle challenges in aerospace technology and science.

What Your Key Responsibilities Will Be

Accounting and Finance Administration:
  • Perform standard research administration functions to support budget, accounts payable, accounts receivable, procurement, and travel and expense reimbursement activities. 
  • Preparation of journal entries, verification of accounting codes and fund assignments, month-end, quarter-end and year-end closes, reconciliations and audits, data collection, analysis and retention, reporting and records management. 
  • Process payroll expense transfers and funding distribution changes. 
  • Work closely with PIs on internal and external sales activities and help gather information for FedEx shipments. 
  • Receive, complete, and log cash deposit forms, and takes the deposits to the cashier’s office.
Contract and Grant Assistance:
  • Request no-cost extensions and at-risk extensions for sponsored research and ensure sponsored project charges are allowable, applicable, and allocable to the project based. 
  • Craft standing purchase orders for subcontracts, and assist with sponsored research closeouts. 
  • Review and handle closing projects and remove unallowable charges as needed. 
Travel and Expense Reimbursement:
  • Acquire receipts and documentation to prepare, reconcile and submit travel expense reimbursement reports. 
  • Provide information about the process to department personnel in order to apply for a travel card. 
  • Collect, close, and destroy travel cards upon employee termination.
Procurement:
  • Purchase goods and services that are reasonable, coordinate the issuance of purchase orders, and process payments as needed. 
  • Develop an understanding of allowable expenses and verify adequate budget to charge for orders. Reconcile appropriate procurement card expenses and prepare necessary reports. 
  • Monitor and process Honorariums, Scope of Work (SOW), and Visa fees routed through the department.

What We Can Offer

  • $20.67-$27.40 per hour.

What We Require

  • Bachelor's degree or equivalent combination of education and experience.

What You Will Need

  • Proven efficiency in written and oral communications, collaboration and problem solving.
  • High-level computer skill proficiency in Microsoft Office Suite (particularly Word and Excel) and databases.
  • Ability to work independently as well as on a team.
