Job Summary

The College of Arts and Sciences (A&S) at CU Boulder is encouraging applications for a Research and Grant Administrator/Senior Administrator Position! This position will provide professional research administration services to A&S Principal Investigators (PIs), research personnel, and departmental staff. This role will interact with A&S constituents and serve as a liaison to CU’s Procurement Service Center (PSC), Office of Contracts and Grants (OCG), and the Campus Controller’s Office (CCO). This position is primarily responsible for assisting in the administration of current awards and assisting in the preparation and coordination of award proposals.

The expertise provided by the Research and Grant Administrator/Senior Administrator includes an understanding of federal administrative requirements and cost principles, state regulations, sponsor restrictions, and university fiscal policies; an understanding of the administrative processes and procedures for the accounting and reconciliation of spending using sponsored funds; an understanding of the administrative processes and procedures for the preparation and submission of grant and contract proposals, both internal and external to the University; an ability to synthesize information to help investigators navigate campus and federal processes; and an ability to set priorities, manage time effectively, and meet firm due dates.

What Your Key Responsibilities Will Be

Sponsored Projects Management
  • Build and maintain a knowledge base of university, federal, state, and funding agency policies and procedures.
  • Serve as a resource in explaining a wide variety of sponsored projects funding mechanisms including grants, contracts, sub-contracts, fixed-price contracts, and gifts to department administration and faculty.
  • Interact with the PI on a regular basis to ensure the financial aspects of the award are proactively managed.
  • Advise Principal Investigators on complicated or unusual projects.
  • Maintain knowledge of OCG and CCO workflow for award setup, modifications, extensions, etc.
  • Employ award-specific terms and conditions, funding agency requirements, as well as university policies and procedures for the appropriate use of restricted funds.
  • Senior Research Administrator: troubleshoot to resolve raised questions or novel situations from research administrators within the unit.
  • Senior Research Administrator: apply professional theory and practice with a deep and in-depth understanding of research administration to independently address a full scope of complex and non-standard assignments and problems.
Reconciling, Analyzing, Reporting, and Projecting
  • Supervise project start-up including pre-award spending allowability, and creation of At Risk Project STs, fabrication STs, and sub award Purchase Orders.
  • Review new award documents and award modifications for terms and conditions, changes, and any other relevant information, entering pertinent information into the financial projection.
  • Maintain financial projections, reconciling accounts monthly to university finance systems and reviewing transactions/documentation to determine that expenditures are allowable, allocable, reasonable, and provide direct benefit to the award. The upkeep of these customized spreadsheets is necessary to successfully forecast and manage funds.
  • Notify PIs monthly when accounts have been updated for month-end close, including any relevant notes or questions, and generate additional reports and projections as necessary.
  • Complete journal entries and budget journal entries.
  • Provide oversight on personnel expenses and duration of appointments, collaborating closely with campus HR and departments to ensure that approved personnel appointments and changes on a given award are completed in a timely fashion.
  • Liaise, document, and track cost share requirements.
  • Provide financial oversight on sub-awardees including the reviewing of invoices, obtaining PI signature, and approval of invoices in MarketPlace.
  • Facilitate the preparation and submittal of requests to OCG for timely No Cost Extensions, At-Risk Extensions, sub award modifications, and Sub award/ Participant Support Reallocations as well as changes in scope of work, budget revisions, PI or Co-PI change, transfer, or disengagement, requests for additional funding, and addition of new sub-awardees.
  • Work with CCO and the department to facilitate award closeouts.
  • Assist departments in various other research finance-related actions.
  • Senior Research Administrator: serve as a technical leader within the RSO.
  • Senior Research Administrator: serve as a resource to other professionals and staff in the College.
Proposal Application Preparation and Coordination
  • Assist with proposal budget and budget justification development.
Training
  • Regularly attend University trainings and meetings as a departmental and College representative.
  • Seek opportunities for professional development within and outside of the University.
  • Work with other units to provide research administration training opportunities as requests arise and time permits.
  • Assist in the development and implementation of improved procedures and systems for grants and contracts management.
  • Senior Research Administrator: operate in a lead capacity and provides instruction and coaching to the RSO team.

What You Should Know

This position currently offers a hybrid work modality with 3 days a week on-site and 2 days remote. This is subject to change.

What We Can Offer

This position will be filled at either the Research Administrator or Senior Research Administrator level, depending on the candidate's experience.
  • Research Administrator salary range is $53,000 -$63,000 per year.
  • Senior Research Administrator salary range is $63,000 -$70,900 per year.

What We Require

Research Administrator Requirements:
  • Bachelor’s degree or a combination of education and experience may substitute on a year-by-year basis.
  • 1+ year of relevant financial management experience including accounting, business administration, and/or human resources
  • 1+ year of research administration or related internship experience in a university, industry, non-profit, and/or government agency role
Senior Research Administrator Requirements:
  • Bachelor's degree or a combination of education and experience may substitute on a year-by-year basis.
  • 3+ years of relevant financial management experience including accounting, business administration, and/or human resources.
  • 3+ years of research administration including proposal development, general award processes, and/or post-award management.
  • Experience handling complex and/or center-type awards. Examples may include those awards with, multi-institutional components, foreign components, or unique university-private partnerships.
  • Experience working with policies and financial systems within institutes of higher education.

What You Will Need

  • Demonstrated proficiency in the use of Microsoft Office 365 and Google Drive Applications with advanced proficiency in Google Sheets or Excel.
  • Analytical and problem-solving skills.
  • Ability to work independently as well as on a team.
  • Excellence in establishing work priorities, providing follow-through, and meeting established due dates.
  • Ability to maintain effective lines of communication including the ability to resolve conflict and negotiate.
  • Ability to maintain a high level of confidentiality with sensitive information.

What We Would Like You to Have

  • 2+ years of financial management experience in an academic, medical, or non-profit setting.
  • 2+ years of research administration experience with contracts and grants, including a working knowledge of the Uniform Guidance (UG) and/or FAR (Federal Acquisition Regulations).
  • Experience working with PeopleSoft, InfoEd, and/or Concur.
  • Excellent interpersonal skills including both verbal and written, with a customer service demeanor.
  • Advanced proficiency in Google Sheets or Excel.
  • Ability to develop creative solutions to challenging situations and to respond constructively to others' ideas and suggestions.
  • Certified Research Administrator (CRA), Certified Financial Research Administrator (CFRA), or related certification.
