Job Summary
Residence Life at CU Boulder is encouraging applications for the Residence Life Office Manager! Residence Life provides transformative residential communities where approximately 10,000 students, staff, faculty, and families live, learn, and grow together.
Within the department, this position is responsible for the operations of the central office, provides administrative support for the Residence Life leadership team, supports elements of the student and staff experience, assists with departmental operations, and at times, supports scheduling functions within the Graduate and Family Housing central office. This role supervises 3-5 student assistants, supports tracking the departmental budget, and provides a high degree of customer service to parents, students, faculty, and staff.
The individual in this role will support the work performed by Assistant Directors, Associate Directors, and the Director by drafting and sending formal and informal communication, scheduling meetings, managing departmental calendaring, and advising staff about University policy and protocols. This role will have regular contact with leadership from within the department, and within the Division of Student Affairs, and will be expected to operate with a high degree of accuracy and independence.

Residence Life

What Your Key Responsibilities Will Be
Office Management
- Be responsible for the operations of the Residence Life central office.
- Provide logistical, administrative, and purchasing oversight for large departmental events, including move-in, move-out, and recognition events.
- Document central office procedures and processes, and train new staff on protocols.
- Create agendas for departmental and leadership team meetings and maintain meeting minutes as requested.
- Manage Residence Life storage rooms, departmental resources, and supplies. Oversee Residence Life inventory, which includes purchasing, inventory tracking, and management. This may include researching, pricing, and purchasing equipment and supplies.
- Manage departmental vehicles, including verification and tracking of eligibility to operate, check-out of keys, and coordination of recurring maintenance.
- Serve as the department liaison to parking services, supporting the purchase and tracking of business permits, signage changes for new and moving staff, and communicating parking expectations with new staff.
- Draft and send departmental newsletters.
- Serve as the departmental representative with the Center for Community Building Proctor.
- Maintain departmental registration and rosters with regional and national associations.
- Maintain departmental channels on Microsoft Teams.
Departmental Leader Support
- Draft memos and communication on behalf of the Residence Life senior leadership team.
- Schedule meeting and event spaces on behalf of the department and/or members of the departmental leadership team.
- Support the management of the Director and Associate Director Outlook calendars.
- Be responsible for the purchasing of office supplies for members of the professional staff.
- Support budget development by consolidating budget requests and tracking identified current and future budget needs. Monitor financial reports and track departmental spending to make sure expenses are within budgeted allowance.
- Advise the Director, Associate Directors, and Assistant Directors on university processes, procedures, and target dates.
- Complete other duties as assigned by the Assistant Directors, Associate Directors, and Director of Residence Life.
Human Resource Management
- Supervise and evaluate Residence Life Office student employees:
- Manage schedule and workflow.
- Assign daily tasks and provide any necessary instructions or guidance.
- Provide support, feedback, and coaching.
- Ensure the student is recognized as a valued member of the team.
- Be responsible for the hiring process and onboarding of new student assistants as needed.
- Create/maintain training tools such as student assistant, office, and administrative assistant training/operational manuals.
- Facilitate professional staff onboarding and offboarding processes, coordinating staff mailbox assignments, and partnering with SA-IT to ensure proper IT equipment set up.
- Support professional staff off-boarding, including updating change of supervisor forms and Approving Officer forms, re-collecting staff supplies, and notification of appropriate campus departments.
- Manage live-on faculty/staff pet process, including coordination with the Student Affairs Cashiers office for payments.
- Support the Director in tracking professional development funding requests and staff leave.
- Track completion and updates for departmentally required trainings.
- Assist with the recruitment, selection, and training of student staff and professional staff.
- Participate in, and support, Residence Life committees and task forces as needed.
Customer Service
- In alignment with ‘The Buff Way,’ provide exceptional front-line customer service to students, faculty, staff, parents, guests, and internal/external businesses in person, through written correspondence, by telephone, and by routing/referring calls to other departments.
- Utilize campus systems, such as StarRez and CU SIS, to look up student information and track appropriate conversation notes.
- Assist in the management of move-in appointment scheduling for approximately 8,000 residents.
- Oversee space utilization requests made through CU’s Event Management System (EMS) for spaces managed by Residence Life. Review and approve requests in alignment with campus and departmental protocols.
- Support campus recruitment efforts by coordinating departmental involvement in admissions visit days, managing residential showrooms, and leading new employee tours in partnership with Human Resources.
- Manage the Residence Life central email account by sending thorough replies, sorting incoming emails into appropriate files, and elevating high-level concerns to appropriate departments and staff members.
Safety & Security
- Maintain departmental rosters, call trees, on-call schedules, and organizational charts.
- Utilize software to transfer the on-call phones as needed.
- Maintain accurate records of emergency temporary room utilization.
- Coordinate with campus and city officials to schedule and track state-mandated fire drills.
- Coordinate with Environmental Health & Safety for the removal of unauthorized hazardous materials from residence halls.
- Understand and follow FERPA guidelines.
- Serve as a mandatory reporter in instances of reported Title IX violations.
What You Should Know
This is an onsite position with a work schedule of Monday- Friday, 8am - 5pm. Periodic evening or weekend work may be required during peak operational periods.
What We Can Offer
- The starting salary range for this position is $55,000- $57,000.
- Onboarding assistance is available within Student Affairs division guidelines.
