Job Summary

The Office of the Registrar at University of Colorado Boulder welcomes applications for a Scheduling Coordinator Position! This position oversees and assists departments with their class schedule build-out each semester along with other class-related processes. Determines appropriate usage for the scheduling of classroom space for academic purposes, including specialized assignments for large and specific classroom requests, evening and midterm exams, final exams, summer academic programs and one-time academic-related reservations. Performs analysis and troubleshooting of issues with deans and scheduling liaisons, and assists departments with class changes during various stages of the semester timeline. Determines the final exam schedule for each semester and completes the processes for the posting and rooming of exams. Trains and advises department scheduling liaisons on all phases of their work with the semester class schedule. Analyzes class activity during student registration and determines how to enforce regulations regarding classroom seating limits, related state, accreditation and institutional polices, higher education practices, academic instruction guidance and room scheduling practices. Analyzes information in Course Inventory Management (CIM) for Courses, makes appropriate course updates and advises on course data impacts to class sections. Position requires knowledge and expertise of the data structure in Campus Solutions, 25Live, CLSS and CIM for Courses.

What Your Key Responsibilities Will Be

Provides technical assistance and guidance to academic departments and deans in the development of a comprehensive schedule of classes in Campus Solutions for fall, spring and summer semesters. Provides initial overall training and ongoing guidance to the academic department liaisons. Answers liaison questions and initiates deeper investigation to find answers to unusual requests. Makes appropriate updates to class sections and instructs liaisons on their work. Develops expertise with CLSS scheduling tool, trains and advises users and troubleshoots application. Reviews class data to find input errors and oversees correction of data. Troubleshoots system issues and works with CU-SIS Dev to find solutions. Works with other teams such as Canvas administrators, UIS, and Technology, Communications and Report to ensure accuracy of class data.

Analyzes Campus Solutions and 25Live data to independently assign classrooms. This encompasses determining the best room usage based on academic requirements and availability of classroom space and also includes the scheduling of final/midterm exams, evening exams, reviews and all other related academic events. Assigns rooms for multiple summer programs and collaborates with CU Events Planning on reservation-related issues. Performs analysis and related procedures during the batch rooming process. Negotiates with deans and academic departments when conflicts arise to ensure customers’ needs are being met while effectively managing available campus classroom resources. Evaluates and enforces room scheduling policy, analyzes and makes changes to processes as needed, and determines streamlining opportunities in scheduling policies and procedures. Provides solutions and guidance for the use of approximately 300 classrooms across campus which includes supervision and oversight for appropriate use of space by interpreting and applying University policy as well as occupancy standards.

Plans final examination schedule twice per academic year, determining a fair distribution of final exam time assignments, which requires various considerations of multiple criteria such as: common exams, regular course exam time special requests, and religious holidays. Implements Campus Solutions table updates and conditional logic for accurate exam scheduling and assigns approximately 3200 exams. Performs adjustments to final exam room assignments and assists with interpretation and enforcement of final exam policy. Schedules other exam-related needs such as accommodation exams and reviews.

Back-up to the Assistant Registrar. Analyzes course changes requested by colleges by examining their correctness within the framework of CIM for Courses, Campus Solutions and degree audit programs. Performs updates of course catalog data. Provides coverage for the unit to constituents. Responds to Academic Scheduling e-mails, responding to requests and questions within stated service level agreements. Provides back up support with 25Live administrator tools. Participates in office-wide initiatives. Completes other duties as assigned.

What We Can Offer

  • The salary range for this position is $55,000-$59,000 annually.

What We Require

  • Bachelor's degree from a four-year accredited institution.
  • An equivalent combination of education and experience may substitute.
  • One year of scheduling experience with Campus Solutions or another student information system.

What You Will Need

  • Experience using scheduling software (such as 25Live, Event Management System (EMS) or equivalent).
  • Proficient with MS Office (Excel, Word, PowerPoint, Outlook) and Google Drive Docs, Sheets, Slides and Forms.
  • Clear and effective oral and written communication skills.
  • Strong interpersonal and organizational skills.
  • Excellent problem solving, troubleshooting and creative thinking skills.
  • Analytic and detail orientation to scheduling work.
  • Proven ability to prioritize, implement and deliver projects on time.
  • Desire to work in a highly collaborative environment.
  • High standard of integrity, professionalism and personal responsibility.
  • Ability to work independently as well as collaboratively with a team.

What We Would Like You To Have
