Job Summary
Advancement at CU Boulder encourages applications for a Senior Development Assistant! This role operates as a key support member of the Industry & Foundation Relations team and uses autonomy, independence and subject matter expertise to provide administrative support for a high-performing and collaborative advancement team.
This position will work under minimal direction on a broad array of administrative duties that are variable and sophisticated in nature and is tasked with exercising a high level of discretion and confidentiality, especially as it relates to assigned responsibilities with donors, faculty, staff and other constituents. This role applies skills and knowledge in multiple administrative functions, but many responsibilities reflect a distinct Advancement and constituent engagement component.

What Your Key Responsibilities Will Be
Administrative Support
- Support assigned staff through all stages of the gift and grant lifecycle, including but not limited to invoice creation, new fund setup, gift agreements, modifications, proposal tracking, and database accuracy.
- Support assigned staff with scheduling requests, meeting coordination, and other administrative tasks as needed.
- Maintain gift and donor data in Ascend, SharePoint trackers, and other internal systems related to your position keeping accurate donor records, including notes, strategic plans, contact reports, and tasks.
- Be a resource and contact for other campus, school, and unit partners on matters related to gifts and grants.
- Provide operations-related assistance to assigned team members, including process creation, execution, organization, and improvement initiatives.
- Generate requested information, reports, spreadsheets, and correspondence using data from the central database.
- Prepare administrative materials such as financial reports, proposals, and gift-related documentation.
- Use industry-related payment portals as required.
- Interact with internal and external constituents, including major funders, to gather information and ensure timely information flow.
- Work closely with Ops team members, especially the other Senior Advancement Assistant to collaborate on projects, share information, create and improve processes and provide support relative to team success.
- Work closely with the team’s student assistant/s on project support related to your role and tasks.
- Assistance with special projects and other duties as assigned.
Donor Cultivation & Engagement Support
- Support assigned team members with coordinating donor campus visits, including but not limited to scheduling, partner communications, catering, parking, meeting prep, day-of setup, and post-visit debriefs, with the support of the Operations team manager.
- Draft briefing materials and background information for cultivation and solicitation meetings.
- Track and update organizational contacts for entities, support contact report creation and overall data requests for assigned team members in Ascend and internal trackers.
- Support stewardship initiatives identified by the Operations Manager, such as annual and one-off stewardship communications/reports, donor stewardship gifts or recognition requests, holiday card mailing, and other stewardship activities as identified.
- Assist with the execution of physical mailings or email communications by curating the distribution list, ordering necessary supplies, and coordinating the send.
Office Management
- Manage the IFR email inbox, handling responses to requests with support of Operations manager, and sending relevant inquiries to team members
- Receive, process and distribute unit mail/inter-office correspondence.
- Prepare and submit expense reports for self and support assigned staff with theirs and other budget management tasks as assigned; create purchase requisitions, arrange travel, and complete post-travel documentation.
- Maintain office supply inventory and supervise purchasing of office supplies, needed branded materials, and meeting related materials.
- Support daily office functions such as room reservations, A/V needs, mailings, and general inquiries.
- Facilitate onboarding and offboarding logistics for new and departing employees.
- Assist with social, culture, and team-building efforts, including bookings, payments, and celebration execution, as advised by the Operations Manager.
- Engage proactively with the division’s Administrative Team (A-Team) and attend scheduled meetings.
What You Should Know
- This position has the ability to work a hybrid schedule with some days on campus and some days remote.
- This position will occasionally require you to work evenings/weekends.
What We Can Offer
The salary range for this position is $63,000 - $73,000 annually. Relocation assistance may be available within Advancement guidelines.

What We Require
- A Bachelor’s degree or equivalent experience or combination of education and experience.
- 3+ years of direct work experience.

What We Would Like You to Have
- Experience in or understanding of a non-profit or higher education environment.
- Experience working in customer service and/or an operations-focused role.
- Software Used: Microsoft Office products, donor tracking software (Salesforce), Zoom, Teams, LinkedIn, DocuSign, m-Fin, Marketplace, Concur.
