Job Summary

The Senior Executive Aide to the Dean manages the administrative and operational affairs of the Dean's office and provides professional support in the areas of research and issues management, executive communications, high-level schedule coordination and meeting preparation, administration, and strategic budgeting. The position works to understand the Dean’s objectives and goals and manages work processes in order to help the Dean achieve those goals.

This position advises the dean on strategy, policy, procedural and operational issues of the college and works closely with associate/assistant deans, chairs and directors to implement the college’s strategic initiatives and meet the operational needs of the college.

The position develops college-wide policies, processes and procedures in close consultation with Academic Affairs, Human Resources, the Provost's Office and other administrative offices on the Boulder campus. This positions supervises Dean's Office and other college staff.

Who We Are

The College of Media, Communication and Information (CMCI) was founded in 2015 to address revolutionary change in the way people communicate, the tools they use and the impact that change has on society. The new college has six departments that offer undergraduate and graduate degrees: the Department of Advertising, Public Relations and Media Design; the Department of Communication; the Department of Critical Media Practices; the Department of Information Science; the Department of Journalism and the Department of Media Studies. In addition, there is a graduate program in Intermedia Art, Writing and Performance. The college’s interdisciplinary approach unites students and faculty from these seven academic specialties to solve emerging problems in the ever-changing world of communication and technology.
CMCI has attracted strong interest from prospective students and now enrolls over 1,800 undergraduate and graduate students, is home to five centers and labs and a growing faculty. Since the inception of the college in the fall of 2015, 40 new faculty across all departments have been hired, which has provided the opportunity to re-envision the curriculum and capitalize on relationships with new educational and industry partners.

What Your Key Responsibilities Will Be

Administrative Leadership and Support 
  • Gather information and perform research on matters coming to the Dean for resolution, including confidential and sensitive material. Research issues and policies, summarize findings, and make recommendations. 
  • Manage college-level projects and monitor the progress of strategic initiatives, discuss project milestones with the Dean's direct reports and other project leaders, and analyze the progress.
  • Synthesize project activities, progress, obstacles, and achievements into high-level reports for the Dean. Provide regular briefings on the project portfolio.
  • Independently work with the Dean's direct reports to ensure appropriate execution of initiatives and decisions.
  • Work with Dean to identify issues and agendas for college leadership meetings, retreats and Dean's advisory councils. 
  • Brief and prepare the Dean in advance of calendared meetings and events, including preparing talking points on administrative and operational issues.  Prepare reports and executive communications.
  • Participate in meetings on behalf of the Dean to gather and share information, and to accurately reflect the Dean’s position as necessary.
  • Where allowed by University policy, this individual may be delegated authority and responsibility for signing documents or making approvals on behalf of the Dean.
Strategy and Operational Management
  • Advise the Dean in college business strategy and execution to align with campus and university vision and mission.
  • Work with college leadership and staff to operationalize the strategic plan of the college.
  • Work closely with the director of budget and finance to align budget with strategy.
  • Support the Dean in development of overarching policies, procedures and operational framework of the college. 
  • Point person on data collection and data analysis needed for strategy and direction.
  • In collaboration with the Dean, assistant dean and campus partners, develop solutions for facility related issues.
  • Provide recommendations for organizational structures and staffing levels to accomplish organizational goals and objectives, evaluate outsourcing opportunities and the allocation of college resources.
  • Manage the Dean's Office budget. 
Faculty Affairs and Human Resources Management   
  • Direct Faculty Affairs and staff personnel management to ensure that faculty and HR processes support the short and long term goals of the college.
  • Work closely with the Dean to develop and execute personnel management strategy for the college to include: hiring, onboarding, talent management, professional development, organizational design, policies and best-practices for faculty and staff based on college workforce trends and HR best-practices. 
  • Handle sensitive employee relations issues in conjunction with campus HR, CU Legal Counsel and Office of Faculty Affairs.
  • Coordinate with the Assistant Dean for Communication on an internal communication strategy.
  • In coordination with the Dean, develops and implements award and recognition programs for staff and faculty.
  • Hire, direct, train, supervise and evaluate direct reports.
  • Facilitate cross-training and coverage between departmental administrative support units. 
  • This position may supervise positions during absences of leadership to maintain unit productivity.

The anticipated starting salary is $90,000.

What We Require

  • Bachelor's degree from an accredited university and at least (5) years progressively responsible experience that includes executive support, management of large complex projects, and some finance or budgeting responsibilities. 
  • Supervisory experience and/or expertise in performance management, performance management coaching or related experience.  
    • Equivalent combination of education and experience may substitute for the degree on a year for year basis.

  • Demonstrated success in recruiting, retaining and developing workforce. 

What We Would Like You To Have

  • Master's degree from an accredited university. 
  • Seven to ten years of progressive experience implementing and/or developing executive operations. 
  • Previous supervisory experience.
  • Previous experience managing administrative responsibilities in a complex environment.
  • Experience working within the regulatory framework, especially previous experience within higher education in the state of Colorado. 
  • Demonstrated strategic planning, problem-solving and decision-making skills. 
  • Demonstrated past success in issues research. 
  • Knowledge of university policies, program administration, project management and event planning. 
  • Experience with organizational development and strong leadership skills.
