Job Summary

The Senior Space Optimization Analyst will establish and evaluate campus space standards and policies, analyzing and assessing program requirements and space utilization, and developing alternative solutions for space allocation, assignment and relocation to support the academic and research missions of the university.

Who We Are

Facilities Management is responsible for the overall physical development and maintenance of the campus. The mission of the department is to provide a safe physical environment that promotes the advancement and transfer of knowledge. Within Facilities Management, the Office of Space Optimization manages a comprehensive program for collecting, maintaining, analyzing and managing the University of Colorado Boulder’s (UCB) space utilization information, and identifying, assigning and managing space requirements for all academic, research and administrative units on and off campus. The office has responsibilities in the areas of space planning and analysis, classroom planning and management, and administration of space management.

What Your Key Responsibilities Will Be

Campus Space Management
  • Ensure accurate and reliable information describing university facilities use and space utilization. 
  • Direct, develop and maintain an inventory of campus, building, and space data. 
  • Develop and plan space survey methodologies and space standards, space management strategies, policies, guidelines and procedures.  
  • Work with university academic, research, and administrative departments, and leadership to capture current and future space requirements, understand program needs and priorities.  
  • Provide technical expertise to campus when developing Facilities and Administrative and Indirect Cost Recovery related reporting.
  • Support the Office goal of liberating and communicating space information for the wider campus audience. Develop thoughtful dashboards, reports and presentations in support of this goal. 
  • Work with PD&C colleagues and campus stakeholders to determine desired outcomes and delivery methods.
  • Conduct space analysis and space use studies associated with requests for new space, altered space, space relocation alternatives, and capital building requests. Recommend plan(s) and integrate plans in the broader campus context and in the context of the Campus Master Plan. 
  • Establish critical timelines related to project implementation and space allocation, direct the planning of moves with campus stakeholders.  
  • Advise staff regarding space impacts of planned/proposed capital projects. 
  • Participate in campus space planning, campus master planning and capital improvement planning processes.  
  • Develop and measure utilization metrics for a variety of space types and allocations.
Client Support
  • Assist with all elements involved with the implementation, roll out and training of new space management software. 
  • Act as application administrator and provision users, troubleshoot errors, and interface with internal and external resources.
  • Assist campus clients with space allocation request policies, procedures, and approvals. 
  • Review submitted requests for completeness, validity and merit. Curate and prepare necessary documentation regarding requests to align with space governance policy, process and committee deliberation.
  • Educate stakeholders on space use nomenclature, assignment rules and use of digital tools. 
  • Verify accuracy of entered information with physical field visits and client interviews.
  • Support facilities planners, clients and consultants in programming efforts.

What We Can Offer

Anticipated Salary Range is $60,000-$75,000, commensurate with skills and experience.

What We Require

  • Bachelor's degree in Engineering, Architecture, Interior Design, Urban Planning, Public Administration, Business Administration or related field
  • At least three years of progressively responsible experience in planning or space management in a large, complex business or organizational infrastructure services

What You Will Need

  • Proven analytical skills
  • Requires excellent verbal and written communication skills and an ability to work effectively with academic deans, directors, faculty and top level administrators
  • Strong interpersonal skills are essential
  • Ability to negotiate and problem solve with multiple constituencies
  • Ability to coach and mentor student staff is desirable
  • Ability to support and encourage diversity in the work environment

What We Would Like You To Have

  • Master’s degree highly desirable
  • At least five years of progressively responsible experience in planning or space management in a large, complex business or organizational infrastructure services
  • Experience with space management software
  • Experience in higher education environments or similar large institutional organizations
  • Functional knowledge of facility management practices and space policies, standards and procedures in a higher educational setting is highly desirable
