Job Summary

The College of Media, Communication, and Information (CMCI) encourages applications for a Space and Strategic Initiatives Specialist! Working at all times with inclusive values and practices as a foundation, the CMCI Space and Strategic Initiatives Specialist supports the Assistant Dean of Administration in the management of the College’s physical spaces and project-management of the College’s strategic projects and initiatives. The Specialist manages the logistical coordination for the College’s physical spaces including offices, classrooms, labs, and common spaces and supports the Assistant Dean of Administration in the project management of space-related initiatives such as construction projects and moves. The position supports the Assistant Dean of Administration with the project management of college projects and critical initiatives by providing support for administrative management, research, planning, and logistical coordination including scheduling and communications with college, campus, and external constituents.

The CMCI is located in 11 buildings on campus and one off-campus location. This person will be the first point of contact to help coordinate, triage and direct activities across this large portfolio. We are looking for someone with strong logistical, communication, and organization skills. Project management and organizational change skills are desirable.

What Your Key Responsibilities Will Be

Project Management Coordination

  • Act as project coordinator for critical initiatives by supporting the Asst. Dean in defining project scope, constituents, timelines, results, etc. in keeping with project management standard methodologies.
  • Manage the administration of each project through scheduling, and coordinating communication with constituents.
  • Act as liaison with various constituents both within the college and at the campus and university level to ensure coordination and execution of initiatives.
  • Maintain internal project management documentation, assist with the creation of accompanying communications plans, and communicates on behalf of the asst dean and dean as appropriate.
  • Support Assistant Dean of Administration and Director of Technology and Personnel Director in the development, implementation and management of college-wide safety and security plan to include and address accessibility for our physical spaces.

Project Management Support for CMCI Space Initiatives

  • Support the Dean and Assistant Dean of Administration in the planning and logistical coordination for space-related initiatives for the College.
  • Serve as the primary contact for facilities-use changes including remodels, repairs, and moves; coordinates with department residents, proctors, CMCI Finance, Facilities Management, etc., to review proposed remodels, coordinate budget and approvals through the Asst Dean.;remain the primary contact through to signing off on project completion.
  • Maintain project plan documentation including timelines, roles & responsibilities of participants, meeting notes; manages calendaring of meetings in coordination with Dean’s Office Professional Assistant, college constituents, and campus and external partners (contractors, building management, movers, etc.) for space-related initiatives.
  • In coordination with Assistant Dean of Administration, manage internal communication with constituents via email, messaging, and meetings to ensure all parties are informed and understand what they are responsible for as related to each project. Maintain continual and proactive communication to enhance transparency and efficiency of projects.

Coordination of CMCI Space Inventory and Access

  • Maintain accurate inventory of CMCI’s physical spaces, their designated use, and roster of occupants. To ensure updated inventory, position will work closely with the campus Office of Space Optimization, Facilities Management, Registrar’s Office, Provost’s Office, and with each academic department and administrative unit within the CMCI.
  • Maintain updated personal access to each of CMCI’s 16 locations in 11 on-campus buildings and one off-campus space (as of 2022, subject to change) in partnership with CU Boulder Access Services staff to ensure appropriate access for each building (keys, card access, C-CURE access).
  • Maintain an inventory of access roles provided to CMCI affiliates for each location on campus through C-CURE and Access management systems. For off-campus location, coordinate with building management for key access and maintain inventory of CMCI affiliates who have keys to the building. Coordinate with the department of Advertising, PR and Media Design (APRD) to ensure access records are updated each semester.
  • Coordinate with CMCI’s Registrar’s Liaison, Associate Dean of Undergraduate Curriculum, Assistant Dean of Administration, and Dean’s Office Professional Assistant to ensure appropriate documentation of CASE building’s academic and non-academic space-scheduling.

Liaison to Campus Event Management System (EMS) and Building Proctor’s Network

  • Serve as CMCI’s liaison to the campus EMS management; obtain access to all CMCI spaces through the EMS system, coordinate with EMS management on any updates to CMCI access; create and maintain a roster of CMCI affiliate users for individual rooms across CMCI’s spaces and ensure this list is updated each semester by working with CMCI HR and CMCI department administrative staff to ensure accuracy of lists.
  • Represent CMCI at the campus Building Proctor’s Network and communicate as appropriate with department and college administrative staff and chairs as needed to ensure understanding of safety, security, and other related items.

What You Should Know

40 hours a week, hybrid - mainly on-campus with limited availability for remote work 1 day per week or as determined appropriate by the supervisor.

What We Can Offer

The annual salary range is $56,000-$60,000. Relocation assistance is available.

What We Require

  • Bachelor's degree and one year professional experience in project management intensive role.
    • Equivalent experience on a year-for-year bases may substitute.

  • Demonstrated ability to proactively anticipate user experience outcomes and take action to plan in advance to mitigate challenges.
  • Familiarity with or experience using CU Boulder’s Event Management System (EMS).
  • Familiarity with or experience using CU Boulder’s C-CURE access system.
