Job Summary

This position provides administrative support to the Student Services unit that includes the Senior Assistant Dean of Students and Registrar's Office within the Law School, both of which work closely together to support students. The units directly interact with and serve students through the management of student programs, course enrollment and registration, exam administration, and other administrative tasks. The position will have responsibility to create and modify processes and procedures for efficiency and effectiveness. 

The Student Services Assistant will be involved with a variety of projects and activities to help ensure a smooth operation within the Student Services unit. It is the first point of contact for law students with academic and other questions including curriculum and registration policies and procedures in addition to visitors to the law school. Discretion and independent judgment are required. Technology is used for most aspects of this position to carry out job duties. This is a 60%-time, 10-month position.

What Your Key Responsibilities Will Be

Customer Service
  • Serve as first point of contact for students and faculty with questions related to Registrar and Student Affairs areas of responsibility, exercising judgment and discretion and balancing sometimes competing concerns (e.g., student support and accountability). 
  • Respond to routine requests; facilitate timely, professional response; exercise judgement in determining urgency and appropriate responses. 
  • Balance various correspondence and visits from students, faculty, staff, and the public for the Senior Assistant Dean for Students and the Registrar.
  • Greet visitors coming to the Registrar and Student Services area. Route questions coming in by email and phone.
Data Entry, Tracking, and Records
  • Assist with term batch enrollment processes; enter and review data into WinSmart, CU-SIS, Salesforce, OnBase, and other databases as needed with attention to accuracy; complete registration paperwork; document special enrollment cases including non-law students, clinics, independent legal research, and others; run enrollment reports as needed.
  • Work on long-term project to transfer all paper records to electronic database through scanning.
  • Assist with all document filing, retrieval, and records retention for the Dean of Students and Registrar's Offices, including maintenance of student records. 
  • Assist in file management; maintain electronic filing systems containing student records, subject matter files, and other written and electronic data.
  • Support Registrar's function by helping to register students for classes in CU-SIS, processing add/drop requests, submitting grade change forms, registration (faculty assignment, room assignment, exam scheduling, bidding, and drops/adds), 1L class sectioning, processing grades and generating rankings, verifying graduation requirements, validating bar exam eligibility, conducting exams, generating transcripts.
Bar Certifications and Forms Processing
  • Assist with requests from students and alumni for certifications needed for admission to practice law (e.g. bar certifications, character and fitness forms, student practice act certifications, letters of good standing, certificates of graduation, certificates of enrollment, etc). 
  • Document requests across various systems.
  • Organize student records and files, taking care to maintain and update information as necessary.
  • Review records for graduation date, honor code violations, application amendments and other information, preparing forms for signature by appropriate official, and uploading relevant materials to the university digital storage system.
  • Track all requests and forms.
  • Evaluate urgency of requests and prioritize work flow within the office.
  • Provide excellent customer service when working with students who are experiencing pressure and stress.
Exam Support
  • Assist with preparations for exam proctoring and administration.
  • Provide help with preparing exams for faculty and printing.
  • Assist students with IT questions and refer them as appropriate.
  • Assist students during periods of high volume traffic during exam season especially those experiencing high stress. 
Event Support
  • Assist with event tasks including reserving rooms, ordering food, and paying for and processing/allocating expenses. 
Additional Projects
  • In a fast-paced, service-excellence environment, there often are additional needs.

What You Should Know

  • This position will work 60%-time (approximately 24 hours per week) for 10 months out of the year (generally August through May).

What We Require

  • Three years of experience in a fast-paced office environment. 
    • Appropriate education will substitute for the required experience on a year-for-year basis.

What We Would Like You To Have

  • Associates degree and/or college level course work.
  • Knowledge of database systems and data management.
  • Experience in a university setting and with university procurement systems.
  • Experience with event planning and space management.
  • Knowledge of Microsoft Outlook, Word, and Excel.
