Job Summary

The Graduate School at the University of Colorado Boulder encourages applications for a Student Services Assistant position! This role supports the student services activities of the dean’s office, working directly with students and departments throughout the Graduate School to interpret, explain, and apply Graduate School and university rules, regulations, policies, procedures and services. This position also reviews and makes determination on student requests, provides support to thesis and graduation processes, and oversees and/or assists with recurring and ad-hoc projects as requested. The Student Services Assistant is responsible for meticulous and confidential maintenance of student records and coordinates the professional front-line support and coverage efforts for the Graduate School. This role provides information and problem-solving assistance to students, staff, and faculty while maintaining a welcoming and positive environment. Additionally, this position provides support to staff members by obtaining goods and services, serving as liaison to campus service units, and arranging meetings and events.

What Your Key Responsibilities Will Be

Academic Student Services Duties:
  • Work with students, graduate faculty, and staff to interpret and apply Graduate School rules, regulations, policies, procedures and services in order to assure compliance, provide guidance, and educate about services & resources available within the Graduate School and across the university.
  • Update and maintain current and confidential student and faculty information in various student systems, and assist with implementation of new processes, procedures, and protocols.
  • Review and approve routine student and graduate program requests and collaborate with GS staff and Assistant Director on non-routine requests.
  • Provide support to colleagues by making other updates to and providing information from student records as requested.
  • Establish collaborative relationships with academic units and work with them to resolve issues and collect necessary information and forms.
  • Engage in cross training and serve as backup to other staff as necessary and assist Graduate School staff with various student and administrative projects as assigned.
Support of Graduation and Thesis Submission Process:
  • Provide support to students, programs, and staff throughout the graduation process. Provide in person and hybrid coverage to GS office during essential time periods.
  • Serve as first point of contact to interpret guidelines and answer questions regarding thesis formatting and submission, and independently perform pre-checks of theses.
  • Review final theses in terms of compliance with formatting specifications, working with students to bring documents into compliance and electronically accepting final copies.
  • Correspond with graduating students regarding completion of requirements, including survey requirements and dissertation titles, ensuring completion.
  • Conduct final graduation checks, working with students and units to ensure that all requirements are met and student records are complete.
  • Coordinate or assist with logistics for graduation recognition or events as requested.
Graduate Student Services Front Line and Administrative Support:
  • Provide front line support and contribute to creating a positive and welcoming environment at the front desk, while answering main phone line, main e-mail address, and assisting walk-in visitors.
  • Provide in-person and remote coverage to office as requested to meet business needs of the unit. Coordinate staff efforts to ensure appropriate front-line support across platforms/ modalities.
  • Provide direction, resources, and problem solving to constituents with questions or issues, referring them to staff members and other departments as necessary.
  • Handle the maintenance and updating of lists and listservs of collaborators and facilitate correspondence and notifications.
  • Organize and implement onboarding plan for graduate program assistants and related staff on campus.
  • Be responsible for office supplies, equipment, IT, hardware and software acquisition, working with the Financial Service Center and other relevant offices to obtain items and services as needed.
  • Assist with meeting planning and scheduling for Assistant Dean as requested.
  • Provide support for in person and virtual events and large meetings as needed.
  • Serve as the Graduate School's liaison to campus service units including Parking and Transportation Services, Office of Information Technology (OIT) and Facilities Management.

What You Should Know

  • This position is assigned a hybrid work modality, working both on the CU Boulder campus and remotely depending on business needs.
  • Standard schedule is Monday through Friday during normal business hours. Occasional events in evenings or weekends may require an adjusted schedule.

What We Can Offer

The salary range for this position is $50,000-$54,000 annually.

What We Require

Bachelor’s degree or an equivalent combination of education and experience may substitute for the degree on a year-for-year basis.

  • Experience at the University of Colorado.
  • Experience working with graduate students.
  • Experience working with CRMs and student record tracking systems such as Campus Solutions(CU-SIS), Slate, and Onbase.
  • Proficient with Microsoft Suite and Zoom.
