Job Summary

Under the supervision of the LASP Subcontract Officer, this position will assist in the administration of LASP sponsored research subcontracts, including contracts, grants, and other research agreements. These tasks include, but are not limited to: contract/subcontract awards, associated certification/commitment forms, administrative and organizational functions related to various contract actions as well assisting in contract-required reporting.

The Laboratory for Atmospheric and Space Physics (LASP) at the University of Colorado Boulder (CU) began in 1948, a decade before NASA. LASP is a full-cycle, space institute, combining all aspects of space exploration through our expertise in science, engineering, mission operations, and scientific data analysis.

What Your Key Responsibilities Will Be

  • Assist and support the Subcontracts Officer on all Subcontract/Subaward related items and when available, support the Contracts, Compliance and Procurement (CC&P) team on contract/program related items.
  • Facilitates the management, preparation, review and approval, prior to coordinating signatures required for Subagreements, and modifications to existing Subagreements under the supervision of the Subcontract Officer, as well as processing executed Subagreements.
  • Complete Risk Analysis, Compliance Verification Checklist, Budget Review and collection of Cost/Price Analysis forms.
  • Track pending actions for Subagreements in line with CC&P Desk/Procedure Manual; send reminders, follow-ups and inquiries as needed to move matters forward toward resolution.
  • Compile and present monthly metrics on volume and turnaround times for all sub-agreements.
  • Communicate with Subcontractor personnel from various organizations and Federal agencies in connection with pending administrative actions.
  • Communicate updates on pending matters to internal and external stakeholders; update trackers and note actions taken for reference.
  • File and organize all Subcontract related documents in LASP and CU-managed systems.
  • Attend program meetings as Subcontract and/or CC&P representative as requested; debrief team on status.
  • Track Subcontract related actions from request to closeout; maintain log of actions and completion times.
  • Draft, compile and send routine/administrative requests to sponsors as requested.
  • Prepare internal review and approval documents for all award actions; obtain internal approvals and upload completed documents LASP/University systems for further processing.
  • Create, organize, and maintain files of award documents, certifications, and related items in line with existing file structure.
  • Interact with all LASP and CU Subcontract and Contract related systems in line with established processes, procedures, and conventions/protocols.

What We Can Offer

The salary range for this position is $53,000.00 - $65,000.00. We offer a generous retirement plan that includes 200% matching for the first 5% contributed with immediate vesting.

What We Require

  • Bachelor’s degree in related field.
  • Minimum two (2) years customer service experience.

  • Exceptional organizational skills including document control and storage.
  • Must be able to handle multiple assignments in a fast-paced environment while maintaining the highest standards of ethics and professionalism.
  • Ability to recognize unusual non‐routine situations and circumstances and accurately assess the best contact for resolution.

  • Proficiency with Microsoft Office applications and SharePoint as well as ability to learn and use new software systems.
  • Willingness to work onsite 3 or more days per week. Remote work available for up to 2 days per week. Reliable internet connectivity required for remote work.
  • Self-motivated nature and demonstrated history of productivity and reliability, preferably in a remote or minimally-supervised work environment.

What We Would Like You To Have

  • 2 years of experience performing professional services or administrative work.
  • Experience in academic research universities/institutes.
