Job Summary

CU Boulder is now encouraging applications for a Temporary Administrative Assistant for the Department of Spanish and Portuguese! This position provides over-arching administrative support for the department's operations, including but not limited to front-line office duties, aiding graduate studies, and assisting the department's Chair, Associate Chairs, graduate and undergraduate students, faculty, and the Manager of Finance & Business Operations.

The Department of Spanish and Portuguese is committed to providing an excellent education and an intellectually stimulating environment to undergraduate and graduate students alike. Teaching lies at the core of our mission, as does innovative and relevant scholarship in all periods of Latin American and Spanish literature and cultures as well as Hispanic Linguistics.

Our faculty is made up of nearly eighty individuals ranging in training and experience from Teaching Assistants to senior Full Professors. Each of us is actively engaged in providing the best possible academic experience for our students.

What Your Key Responsibilities Will Be

Administrative Assistance:
  • Manage front desk traffic, including answering and/or advising student and faculty inquiries to appropriate parties.
  • Monitor and respond to general email and department website.
  • Maintain accurate and complete records of departmental property.
  • Serve as key liaison for department.
  • Work with Business Manager to make catalog revisions and track student payroll.
Curriculum Assistance:
  • By appointment, complete schedule adjustments for undergraduate and graduate students, including add/drop day.
Curriculum Scheduling:
  • Assist in generating summer course schedule.
  • Enter courses into curriculum scheduling system and process changes to summer class schedules, at discretion of Chair.
  • Monitor course enrollments and complete additions or cancellations of classes as needed (changes are approved by the Chair).
Graduate Assistance:
  • Serve as first staff point of contact for graduate administrative processes.
  • Respond to individual telephone and written requests for graduate program information, in consultation with Associate Chair of Graduate Studies.
  • Process and track graduate applications through CU Boulder’s on-line application platform.
  • Maintain graduate student records, track progress, and provide reports to the department, College, Graduate School as required.
Other Duties as Assigned by Supervisor:
  • Distribute department general communication and newsletters.
  • Assist with booking rooms and catering for faculty-run events.

What You Should Know

  • This position will have a hybrid work schedule.

What We Can Offer

  • The pay range is $21.00 - $22.00 per hour.


Temporary positions at the University of Colorado are not benefits-eligible, however, all positions are eligible for paid sick leave

What We Require

  • 1 year of general clerical experience in an occupational field related to the work assigned to the position.

What You Will Need

  • Ability to work independently and with responsibility for initiating and completing tasks.
  • Proficient computer knowledge and skills with Adobe Acrobat and MS Office applications, particularly with Outlook, Word, Excel, and Power Point.
  • Ability to communicate effectively and collaborate both orally and in writing, with a variety of professionals, administrators, and students.

What We Would Like You To Have

  • 2+ years of general clerical experience in an occupational field related to the work assigned to the position.
