Job Summary

The Broadening Opportunity through Leadership and Diversity (BOLD) Center at CU Boulder is now accepting applications for a Temporary Administrative & Operations Assistant! This position will support the front desk and Center operations during the summer term and will serve as the first point of contact for members of the BOLD community and visitors. Reporting to the BOLD Center director, this role will help influence the physical space and culture of the Center and will provide service oriented assistance including reception and customer service while managing the physical space requests and facilities management. This temporary position is anticipated to last from early May, 2024 through the end of August, 2024.

What Your Key Responsibilities Will Be

BOLD Front Desk Operations:

  • Create a welcoming space for current students, perspective students and families, BOLD Center staff and other members of the Engineering and campus community.
  • Work with student employees at provided work station at the BOLD front desk
  • Ensure that the front desk remains organized, welcoming and a professional environment.
  • Respond to and direct all inquiries that come from prospective families and students, current students, faculty and college staff in collaboration with the director.
  • Support with training of new front desk student hires, delegating tasks, and creating a front desk schedule. This role will also keep student assistants up to date on BOLD programs, projects, and events.
  • Answer incoming phone and email inquiries to the BOLD Center.

Program Support:

  • Provide logistical support for regular ongoing BOLD programs and special events, including space reservations, materials purchasing or preparation, communications with guests and presenters, and other event details.

Facility and Space Coordination:

  • Supervise and manage all BOLD Center physical spaces. Ensure that all spaces are kept clean, orderly, and conveying a professional environment. Review spaces upon arrival in morning and before end of day.
  • Ensure all supplies such as coffee, tea, cutlery, paper products, and snacks are well stocked and available for students, staff and visitors.
  • Schedule and approve college community requests for the use of BOLD facilities in partnership with the Director.
  • Connect with BOLD staff regarding changes to facilities, information technology, parking, procurement, and other university system-related impacts.
  • Submit work orders to facilities management.

Technology Coordination:

  • Submit work orders for technology needs for the Center and staff. Troubleshoot efforts by serving as the primary contact between BOLD and the Office Information Technology(OIT).

Human Resource & Financial Support:

  • This role will support the student hiring needs of the BOLD Center.
  • Handle purchasing of supplies as appropriate with the support of the College of Engineering & Applied Science (CEAS) Financial Service Center (FSC) Team.
  • Support other human resources and financial services function as assigned.

Other:

  • Undertake other duties and responsibilities as assigned.

What You Should Know

This position will work fully in-person Monday - Friday during University Operating Hours. During the summer this will be 7:30am - 4:30pm, and 8:00am - 5:00pm during the school year.

What We Can Offer

The pay range for this position is $24.00 - $30.00 per hour.

What We Require

  • 1 year of experience working as a receptionist or office manager.

What You Will Need

  • Proficiency in Microsoft Office applications including Word, Excel, and PowerPoint.
  • Good organizational skills and attention to detail.
  • Ability to prioritize multiple projects.
  • Excellent communication and interpersonal skills.
  • Customer service experience at a reception desk.
  • Ability to work independently, as well as on a team.
  • A willingness to learn and interest working with technology and student programs.
  • Sensitivity to, and appreciation of, cultural, political and geographical differences with the ability to work well with faculty, staff and students from around the world.

  • Experience communicating with people from a diverse set of backgrounds.
