Job Summary
The CEAS Dean's Office Front Desk team is hiring a temporary position for the month of May 2025 to oversee the transition to the summer term, train new student employees, and provide administrative assistance to the Dean and his executive team, including serving as a backup to the Executive Assistant to the Dean during their absence. The front desk team serves as the first point of contact for visitors of the office, handles all incoming phone and engineering email traffic, provides event and meeting support, and maintains an organized and well-resourced front desk and copy room. The team helps create a welcome, positive, inclusive, and friendly environment for those coming to the Dean’s Office.

What Your Key Responsibilities Will Be
Specific Functions Include:
- Train new student employees joining the front desk team in the summer and fall of 2025, exercising independent decision making in creation of training schedules, determining the course and timeline for training, and communicating with the Executive Assistant to the Dean on training progress for the student employees.
- Provide administrative assistance to the Dean and their executive team on projects as needed, including serving as the backup to the Executive Assistant to the Dean during their absence by monitoring the CEAS Dean email and assisting with communications, scheduling, and providing meeting support.
General Front Desk Responsibilities:
- Answer phone and assist caller with their questions, transferring to the appropriate staff member or university office when appropriate.
- Welcome all guests as they come in, answer visitor questions, provide directions, and help troubleshoot general routine questions or issues as they arise.
- Manage the CU Engineering email by answering general questions or forwarding to the appropriate team or point of contact.
- Receive, sort, and distribute all incoming mail and help college staff when needed in processing outgoing packages.
- Maintain staff break room and copy room, including ordering and stocking supplies and cleaning.
- Assist building manager in maintaining conference rooms and other projects as needed.
- Provide support on other projects as needed for the Assistant and Associate Deans as well as other members of the Deans’ Office staff.

The hire rate for this position is $20.00 per hour.

What We Require
- Experience as a Student Assistant I or II at CU Boulder.
- Experience working in the CEAS Dean's Office.
- Experience training student hourly employees.
What You Will Need
- Knowledge of the College of Engineering and Applied Science and CU Boulder campus.
- Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PPT, Teams).
- Ability to work as part of a team that communicates and supports each other.
- Capable of handling sensitive personal data with discretion.
- Highly reliable, self-directed, and well-organized.
- Excellent verbal and written communication skills.
- Excellent customer service skills.
What We Would Like You to Have
- Experience working with the CEAS Dean and their leadership team.
- Experience working for the CEAS Dean's Suite Front Desk Team.
- Experience working in an office and overseeing coordination of office tasks.
- Experience with inventory and mailing service or willingness to learn.
- Experience working with Microsoft Copilot, Sharepoint, and other Microsoft applications.
