Health and Wellness Services at University of Colorado Boulder welcomes applications for the Training and Records Coordinator!

Under the direction of the Training & Health Records Manager, this position is responsible for records and training support in various areas within Health and Wellness Services. The position will help assess training needs, provide support to the Manager in all staff training pertaining to the Electronic Health Record (EHR), inquiries pertaining to records, release of information, and immunization processes. This role serves as an expert and is available to serve in multiple functional areas within the Administrative Services. This includes facilitating release of information, following insurance compliance guidelines in compliance with Ie., HIPAA, FERPA guidelines, and Patient Access activities. This position engages numerous campus partners and is a knowledgeable reference point for providers and staff throughout Health and Wellness. This position possesses an extensive knowledge of medical, administrative, ethical and legal requirements and standards related to healthcare delivery and the privacy of protected patient information. This position is an expert in managing patient health information and medical records. The coordinator also performs defined procedures within the Health Information Management Department (HIM) to maintain the workflow of health information, perform quality audits and reports as requested.

The Wardenburg Medical Clinic provides a wide range of health care services for students including: primary care for illnesses and injuries, as well as chronic conditions, physicals, sexually transmitted infection testing and treatment, allergy shots, vaccinations, travel health care, and concussion care.

What Your Key Responsibilities Will Be

Training and Staff Development

  • This position is responsible for developing scheduling and conducting role-based training for all staff in using and documenting the practice management information systems and the electronic health record. This position figures out the most efficient delivery method for curriculum including one on one, classroom or web-based solutions. This position builds job aids, help systems, user guides and training content. Formal validation of learning is tracked to ensure training results in transfer of learning. This position is a resource for ongoing training to professional, clinical and clerical staff.

Medical Records and Health Information Management

  • Process all incoming medical records including those that are uploaded from the student portal, received by fax, or by mail. Process Health plan requests for records to support billing and releasing records for health plan compliance in a timely manner. Process Urgent records requests for continuity of care. Follow up on patient referrals to obtain records. Access the Health Information Exchange of other healthcare facilities to acquire records as requested by providers and patients. This position serves as an organizational expert in managing incoming records and releasing patient health information and medical records. This position will assist the Training & Health Records Manager in acquiring outside records for our providers for patient visits or from the health information exchange. This position will scan any paper medical records into the EHR ensuring the quality and accuracy of all records received as requested. This position serves as a subject matter expert for health information operations including evolving documentation opportunities, record retention, and assurance/monitoring of data integrity and assists in collecting, reporting and analyzing patient data.

Cross-Departmental Support

  • This position supports the general departmental functions of Administrative Services as needed, including front-line customer service and back-up coverage of Patient Access. This position assists with the processing of new student immunization records and makes sure that verification is completed and communication is sent to the student ahead of the deadlines.

Immunization Compliance

  • Serve as the point of contact with Medicat, the electronic health record, to oversee the Immunization Compliance requirement. Build and maintain administrative functions to streamline the immunization compliance program. Work with the Campus Partners to facilitate the placement of holds and fees related to immunization non compliance.

Other Duties

  • This position covers for other departmental functions as assigned.

What You Should Know

What We Can Offer

The starting salary for this role is $48,200 - $50,000 annually.

What We Require

  • Two years experience in an occupational field related to the work assigned to the position, including that appropriate education will substitute for the required experience on a year-for-year basis.

What You Will Need

  • Ability to work independently, manage multiple concurrent tasks and responsibilities, and deal with changing priorities.
  • Knowledge and experience with information privacy laws, legal medical records requirements and regulations in healthcare environment.
  • Demonstrated proficiency of computer and office software skills.

What We Would Like You To Have

  • Two years of systems training experience in a health care environment.
  • Demonstrated knowledge of health information procedures & terminology.
  • Two years of experience in a health care environment working with electronic medical records and/or health care software.
